About Pace Gallery

Role Overview
Gallery Assistants serve as the welcoming presence and knowledgeable representatives of Pace Gallery. They combine extensive artistic expertise with outstanding interpersonal skills to provide an inclusive, engaging experience for visitors, clients, and friends of the gallery.
Key Responsibilities
- Warmly greet and engage guests, ensuring a welcoming and inclusive atmosphere
- Manage phone calls, direct inquiries, handle email communications, and connect clients to appropriate staff
- Maintain detailed knowledge of current exhibitions, prepare relevant checklists and necessary documentation
- Act as an informed resource on gallery artists and exhibitions, demonstrating excellent communication skills
- Exercise discretion with confidential information
- Adapt quickly to changing priorities with patience and flexibility
- Work efficiently both independently and as part of the gallery team
- Exhibit high emotional intelligence when interacting with diverse individuals
- Demonstrate initiative in understanding business goals and collaborating to support staff and achieve objectives
- Assist in gallery events and public programming
- Provide administrative support, including managing sales documents and assisting gallery teams
- Coordinate packaging and shipments for gallery mailings
- Update and maintain CRM data accurately
- Order and keep track of office and pantry supplies
Candidate Requirements
- A bachelor's degree and at least one year of relevant experience
- Strong administrative capabilities including phone and email management, public inquiry responses, and staff/client coordination
- Ability to maintain professionalism and composure under pressure, effectively communicating with diverse populations
- Approachable, positive attitude with genuine enthusiasm for engaging with others
- Comprehensive knowledge of Pace Gallery's artists and a passion for contemporary and modern art
- Proficiency in Microsoft Office Suite (including Outlook) and database management
