The Role
We seek an Executive Assistant to provide dedicated support to our CEO. This role demands exceptional responsiveness and resourcefulness, as the CEO's schedule often extends beyond typical office hours, including early mornings and late evenings. The assistant must be available outside standard hours to address urgent requests promptly and manage highly dynamic priorities.
The ideal candidate will deeply understand Novellia’s business to make informed prioritizations and represent the CEO effectively. Knowledge of New York City is crucial for independently coordinating meetings, client dinners, and other engagements by selecting suitable venues and managing logistics without extensive oversight.
Responsibilities
- Manage complex and shifting calendars for the CEO and leadership team, scheduling interviews and meetings, resolving conflicts, and proactively identifying scheduling challenges.
- Plan and organize all CEO travel logistics, including flights, accommodation, and transportation, adapting swiftly to last-minute changes.
- Coordinate meetings and social engagements in New York City, leveraging local expertise to choose venues and secure reservations.
- Maintain reliable and timely communication with the CEO beyond standard business hours to handle urgent needs effectively.
- Exhibit an understanding of Novellia’s business priorities and key relationships to make sound decisions and prioritize CEO requests appropriately.
- Handle confidential information with the utmost discretion and professionalism.
- Represent Novellia’s culture and values through thoughtful, clear, and respectful communication with staff, candidates, and external partners.
Requirements
- Proven experience supporting senior executives, preferably CEOs or founders, at startups or fast-paced companies.
- Strong familiarity with New York City's restaurants, venues, neighborhoods, and transportation logistics, with the ability to independently recommend suitable options.
- Demonstrated willingness and ability to be accessible outside regular office hours, including early mornings and evenings.
- Exceptional organizational capabilities managing complex calendars involving multiple stakeholders.
- Experience handling domestic travel arrangements.
- Excellent judgment, discretion, and professionalism in verbal and written communication representing the CEO.
- Comfortable working in ambiguous situations with rapidly shifting priorities.
Compensation
This position offers a salary range of $60,000 to $70,000 per year.
