Role Overview
Seeking an experienced Executive Assistant to provide high-quality support to C-Suite executives within a demanding, professional, corporate setting. This role is vital for ensuring executive operations run smoothly, supporting strategic objectives, high-profile projects, and critical business decision-making. The ideal candidate will excel at organisation, discretion, and anticipating senior stakeholders' needs.
Key Responsibilities
- Deliver comprehensive executive support including management of complex schedules, prioritising tasks, and handling confidential communications.
- Organise meetings and prepare agendas, reports, briefing documents, presentations, and other executive-level materials.
- Manage executive inboxes, coordinate travel plans, oversee expenses, and arrange meeting logistics to maximise efficiency.
- Assist CEO Office and Executive Board requests with creation of high-quality pre-reads, board papers, and briefing documents.
- Arrange Executive Board meetings, leadership forums, operational visits, conferences, off-site events, and corporate functions.
- Track action items, monitor progress, and ensure timely completion of key deliverables and strategic initiatives.
- Foster strong relationships with senior stakeholders and represent the Executive Office professionally.
- Maintain absolute discretion and professionalism in handling sensitive and confidential information.
- Proactively identify opportunities to enhance administrative workflows and support organisational priorities.
Candidate Profile
- Proven track record supporting C-Suite or Executive Board members in large, complex corporate environments.
- Exceptional organisational and prioritisation capabilities to manage multiple competing tasks efficiently.
- Excellent verbal and written communication skills with confidence engaging all organisational levels.
- Experience preparing polished executive reports, board materials, presentations, and meeting documents.
- Strong attention to detail, problem-solving aptitude, and a proactive, solution-oriented mindset.
- High levels of discretion and integrity when managing confidential commercial information.
- Skilled at building relationships and influencing senior leadership teams collaboratively.
- Advanced proficiency with Microsoft Office suite including Outlook, Word, PowerPoint, Excel, and Teams.
- Calm, resilient, and adaptive under pressure in a fast-paced environment.
