Role Overview
This position extends beyond a standard Executive Assistant function. The individual will act as the CEO’s primary support, enhancing their productivity, while also contributing to organizational operations and strategic projects. You'll be involved in managing executive support, office functions, and project coordination, serving as an extension of the CEO to maintain smooth organizational performance.
Primary Responsibilities
- Coordinate a complex, frequently changing calendar to optimize the CEO’s time.
- Arrange comprehensive domestic and international travel plans with detailed logistics.
- Develop meeting agendas, presentations, briefing notes, and executive communication materials.
- Handle expense reports, invoices, and various administrative duties.
- Screen communications and act as a confidential and trusted gatekeeper internally and externally.
- Organize Board of Directors meetings, leadership gatherings, and executive retreats.
- Safeguard sensitive information with the utmost professionalism and discretion.
- Manage daily office operations to ensure a superior workplace environment.
- Oversee relationships with office vendors, supplies, facilities, and service providers.
- Collaborate with HR, Finance, and IT teams on onboarding, employee events, and workplace initiatives.
- Coordinate company-wide meetings including all-hands and leadership retreats.
- Identify and implement improvements for office processes and operational efficiency.
- Monitor strategic initiatives, ensuring follow-up on executive priorities.
- Lead cross-department projects and enforce accountability among teams.
- Prepare executive reports, dashboards, and presentations.
- Facilitate leadership meetings by documenting action items and tracking progress.
- Act as a trusted adviser to the CEO on special projects and operational efforts.
- Provide problem-solving support and ensure continuity of priorities as needed.
Qualifications
- At least seven years supporting senior executives, ideally CEOs or founders.
- Experience in entertainment, media, technology, creative sectors, or similarly fast-paced environments.
- Background in managing office operations or business/workplace management.
- Exposure to Chief of Staff roles or executive project management is highly valued.
- Excellent organizational and multitasking abilities under competing demands.
- Superior written and oral communication skills.
- Strong executive presence, comfortable engaging with top leadership, boards, investors, and external contacts.
- Proven capability in anticipating needs, independently solving problems proactively.
- High confidentiality and sound judgment with sensitive information.
- Advanced skills in Google Workspace, Microsoft Office, Slack, Zoom, and project management platforms like Asana, Monday.com, or Notion.
Compensation
The package includes base pay ranging from $120,000 to $160,000, supplemented by bonuses and profit-sharing opportunities.
