Role Overview
We are looking for a highly capable and proactive Executive Assistant to join the CEO office supporting senior leaders operating under a Co-CEO structure. This role demands exceptional organization and the ability to manage complex and dynamic calendars, while providing seamless coordination across multiple priorities, projects, budgets, events, and travel arrangements.
Key Responsibilities
- Collaborate closely with other Executive Assistants within the CEO office to share information and coordinate responsibilities effectively under the Co-CEO model.
- Build strong cross-team relationships while acting as a gatekeeper for executive leadership, anticipating needs and resolving potential issues with proactive planning and minimal supervision.
- Manage an intricate and frequently changing executive calendar, balancing conflicting priorities and making informed decisions on behalf of the CEO.
- Prepare detailed briefings for meetings, speaking engagements, and travel, as well as maintaining organized records including agendas and minutes.
- Coordinate all aspects of domestic and international travel logistics, including commercial and private aviation, ground transport, accommodations, visa processing, and customs requirements.
- Continuously monitor travel plans and adapt arrangements in real-time to accommodate dynamic business priorities or unforeseen disruptions.
- Oversee and coordinate multi-departmental projects and events, ensuring timely deliverables, stakeholder engagement, and process improvements to enhance executive efficiency.
- Track team tasks, budgets, and meeting schedules; facilitate smooth onboarding and ramp-up for new team members.
- Accurately manage expense reports, purchase orders, budget reconciliations, and invoice processing among other administrative duties.
Candidate Profile
- Minimum of 10 years experience as an executive assistant or administrative manager supporting senior leadership, preferably in a CEO office or multi-executive environment.
- Highly trustworthy with an ability to handle sensitive information confidentially and professionally.
- Outstanding organizational skills with meticulous attention to detail, capable of juggling multiple priorities in a fast-moving environment with strong personalities and tight deadlines.
- Exceptional problem-solving skills to organize workflows and manage chaos calmly and effectively.
- A strong sense of urgency with the ability to quickly execute assigned tasks while anticipating subsequent requirements.
- Advanced proficiency in Google Suite, Microsoft Office, Adobe Suite, MacOS, and a general aptitude for technology.
- Experience or familiarity with communications strategies, executive affairs, and leadership operations.
- Excellent verbal and written communication skills.
- Flexible and adaptable to working across multiple time zones.

- Background in budget tracking, event planning, travel coordination, and managing stakeholder relationships.
- Comfortable collaborating across diverse teams, time zones, and external partners.

Compensation
The salary range for this position is $72,600 to $145,200 per year.
