Role Summary
In the position of Executive Assistant, you will be responsible for managing the extensive scheduling and time commitments of a select group of senior leaders. You will hold ownership over executives' calendars and aid in maximizing their efficiency regarding task execution. Your work will directly influence the organization by partnering closely with top executives and cross-functional groups to contribute to the creation of the world's fastest airplane.
Key Responsibilities
- Oversee daily calendar management for 2 to 3 senior executives, including handling internal and external meeting requests.
- Coordinate travel plans, accommodations, detailed itineraries, and communication related to travel arrangements as necessary.
- Serve as the primary liaison for external visitors, ensuring a welcoming and smooth experience.
- Organize and facilitate external meetings by collaborating with event planners and internal team members.
- Develop and implement process improvements, setting standards for future Executive Assistant hires at Hermeus.
- Work in conjunction with other administrative and operations personnel to ensure effective office communication.
- Demonstrate flexibility to travel to Los Angeles, Atlanta, or Washington, D.C., as required and adapt to varying work environments and schedules.
Qualifications and Experience
- At least 4 years of administrative experience supporting senior-level executives in dynamic, high-paced settings.
- Exceptional communication skills—verbal, written, and interpersonal—with the ability to interact professionally and amiably with executives, clients, and associates both inside and outside the organization.
- Strong organizational aptitude and efficient time management, capable of multitasking and managing competing priorities while ensuring high-quality follow-through.
- Physical presence onsite in Los Angeles office required a minimum of two days per week to support leadership and organizational growth.
- Alignment with company culture demonstrated through curiosity and understanding of corporate objectives.
- Adaptable team player who can quickly adjust to evolving contexts and collaborate effectively in a dynamic environment.
- Trustworthy in handling confidential and sensitive information with discretion.
- Detail-focused with strong accuracy in task completion.
- Proficiency with Microsoft Office Suite and scheduling across multiple time zones.
- Experience organizing international travel and managing executive expense reports.
Preferred Skills
- Familiarity with CRM platforms, Slack, Confluence, and Ramp.
- Previous experience working at a technology startup.
- Background supporting teams within highly collaborative environments.
- Exposure to coordinating executive meetings requiring security clearance.
- Experience assisting engineering and product departments.
