Overview
We are seeking a skilled Executive Assistant to provide dedicated support to a senior executive based in downtown Toronto. This full-time, in-office role suits someone who excels in dynamic, fast-paced settings and thrives on bringing organization and efficiency to complex, shifting priorities.
Key Responsibilities
- Manage a highly demanding and fluid calendar, prioritizing and adjusting appointments thoughtfully.
- Proactively anticipate the executive's needs by identifying and resolving conflicts beforehand.
- Serve as a trusted gatekeeper, controlling access and prioritizing requests to safeguard the executive's time.
- Arrange detailed travel plans, coordinate meetings, presentations, and special functions.
- Develop and prepare meeting documentation, agendas, communications, and follow-up materials.
- Establish and nurture effective relationships with senior leadership, clients, board members, and external partners.
- Handle highly confidential and sensitive information with utmost discretion.
- Maintain executive organization, preparedness, and information flow, adapting swiftly to changing demands.
- Ensure diligent follow-through on commitments, avoiding any oversights.
- Maintain professionalism and composure amid rapidly changing priorities.
Required Qualifications
- Minimum of five years' experience supporting senior executives or C-suite leaders.
- Exceptional skills in organization and time management.
- Resilience with a thick skin, maintaining composure under shifting demands and feedback.
- Confidence to tactfully push back and influence decisions when appropriate.
- Excellent communication skills paired with strong executive presence.
- Adeptness in reading situations and navigating diverse personalities diplomatically.
- Proactive, solutions-focused problem-solving capabilities.
- Ability to handle multiple urgent tasks simultaneously while maintaining accuracy.
- Utmost professionalism and discretion in all matters.
Additional Information
This is an existing vacancy requiring office presence from 8:00 AM to 5:00 PM, five days per week. Compensation is up to CAD 90,000 annually.
