Role overview
This is a permanent elementary school secretary position based at Sacred Heart in Paris, Ontario. The role is a 1.0 FTE appointment, scheduled for 35 hours per week across a 10-month school year, with a start date of August 27, 2026.
Working under the general supervision of the Principal, the secretary supports the day-to-day clerical and administrative needs of the school. The position also involves preparing board reports, keeping student records current, and helping the school operate smoothly while supporting student well-being.
Qualifications
- Completion of a one-year post-secondary secretarial program plus at least two years of directly related experience, or an equivalent combination of training and experience.
- Comfort working in a computerized office setting with word processing, spreadsheets, student information systems, accounting tools, desktop publishing, internet, email, scanners, and other common office equipment.
- Proven ability to work effectively in a busy elementary school environment, including strong time management and task prioritization.
- Well-developed interpersonal communication skills with the ability to interact professionally with staff, students, families, members of the public, and other contacts.
- Strong oral and written communication abilities, along with excellent telephone etiquette.
- Ability to respond to students in a calm, caring, and professional way.
- Capacity to handle confidential information with discretion.
- Working knowledge of board policies and procedures relevant to elementary schools.
Key duties
- Provide secretarial support to the Principal and Vice-Principal, including drafting correspondence, preparing reports and newsletters, maintaining files, and handling routine office tasks.
- Coordinate office administration for the school by answering calls, screening and directing inquiries, welcoming visitors, making outgoing calls, and managing incoming correspondence, emails, and faxes.
- Maintain a range of school records and operational information such as enrolment data, OSRs, family records, daily attendance, staff and class schedules, trip records, personnel and payroll reports, accounting details, banking records, statistical reports, petty cash, and fundraising cash.
- Support school activities and assist in interactions involving students, parents, and the general public.
- Prepare purchase orders for office and school supplies, including tender orders for school materials.
- Carry out other related duties assigned by the Principal.
