Role overview
GE Vernova is hiring a Document Controller Specialist in Pallavaram, Tamil Nadu for its Grid Automation team. The role focuses on organizing, controlling, and preserving project records so they remain accurate, traceable, secure, and available throughout the full project lifecycle.
The position calls for solid experience with document control workflows, transmittals, revision handling, and cross-functional coordination. You will work across technical, commercial, and administrative records while making sure they are processed in line with company rules, project procedures, and client expectations.
What you will do
- Oversee the full lifecycle of project documents while following company policies, project needs, and client-specific instructions.
- Handle incoming documents by registering, routing, distributing, tracking, filing, and archiving them correctly.
- Make sure documents move through review, approval, and issuance steps within defined workflows and timelines.
- Maintain accurate numbering, revision tracking, and version history for all controlled records.
- Create and manage transmittals for both internal teams and external stakeholders.
- Keep track of document progress and ensure submissions, retrievals, and updates happen on time.
- Coordinate document-related requirements with project managers, engineers, quality teams, vendors, subcontractors, and clients.
- Check documents for accuracy, completeness, and compliance before release.
- Maintain logs, trackers, and registers so status reporting stays current.
- Support audits by organizing records and supplying the required documentation quickly.
- Help improve document control methods, workflows, and systems over time.
- Protect confidential project information and maintain proper security and retention practices.
- Follow up with relevant stakeholders on delayed documents, comments, approvals, and revised submissions.
Requirements
- A bachelor’s degree, diploma, or an equivalent qualification in Business Administration, Information Management, Engineering Support, or a related area.
- At least 3 years of experience in document control, document management, or a similar role within a project-based environment.
- Strong understanding of document control procedures, transmittals, revision management, and records handling.
- Hands-on experience with document management systems such as DMS/EDMS and electronic filing tools.
- Good command of Microsoft Office tools, especially Excel, Word, and Outlook.
- Strong organization, precision, and attention to detail.
- Clear communication and coordination abilities for working with multiple teams and stakeholders.
- Capability to juggle several priorities and deliver within tight deadlines.
- Preferred background in construction, engineering, oil and gas, energy, manufacturing, or infrastructure.
- Helpful exposure to client document requirements and project document workflows.
- Knowledge of ISO standards, quality systems, or records retention practices is an advantage.
- Experience with tools such as Aconex, SharePoint, Documentum, EDMS, or similar platforms is preferred.
