Role Overview
SeQure Technologies is looking for a proactive Back Office Manager with at least 3 years of experience. This role calls for someone who understands office administration well, has hands-on operations exposure, and can coordinate smoothly with different teams.
Back Office Operations
- Support internal workflows, maintain databases, and keep filing and records properly organized.
- Track office consumables and make sure supplies are reordered on time.
- Manage billing, invoicing, and budget-related tasks, including basic accounting support for payables and receivables alongside the finance team.
- Make sure internal procedures follow company policies and applicable regulations.
- Handle client follow-ups for unpaid invoices so payments are collected on time, and respond to client questions by email and phone about products, services, and solutions.
- Arrange and coordinate cheque collection schedules with clients and ensure the process is completed on time.
Office Administration
- Keep the workplace neat, well-organized, and productive for staff.
- Liaise with building management for cleaning, repairs, maintenance, and related services.
- Help maintain a safe working environment by following health and safety rules and supporting risk assessments when required.
- Manage calendars for meetings, events, and appointments for both management and staff.
- Oversee contract administration, including keeping trade licence, MOA, and other legal documents current and compliant.
- Track renewal dates, deadlines, and required amendments for company contracts and documents.
- Maintain records of company assets such as vehicles and employee-issued equipment like laptops and phones, and ensure handover documentation and allocation are properly completed.
- Monitor regular servicing, maintenance, and updates for vehicles and equipment.
HR Support
- Work with HR and PRO teams on onboarding and offboarding, making sure employees receive the required documents and equipment.
- Verify attendance records and support the payroll process.
- Coordinate employee engagement and wellness initiatives with HR.
Experience and Qualifications
- A background of 3 to 6 years in the UAE is required.
- A bachelor’s degree in a relevant discipline, or an equivalent mix of education and experience, is expected.
- Strong administrative capability is essential.
- Excellent spoken and written English is mandatory.
- The selected candidate must be able to join immediately.
