Role Summary
The company is looking for a highly organized and driven Assistant Project Manager to help deliver residential ground-up construction projects across Florida. This position supports the Project Manager with coordination, scheduling, permitting, subcontractor communication, budgeting, and document control from preconstruction through final closeout. It is well suited to someone aiming to build a career in residential construction management in a busy environment with several active projects.
Key Responsibilities
Project coordination
- Support the Project Manager in the daily coordination of multiple residential construction projects.
- Liaise with subcontractors, suppliers, and consultants.
- Monitor project timelines and major milestones.
- Keep project records organized and up to date.
- Assist with closeout paperwork and final project documentation.
Scheduling
- Maintain and refresh project schedules.
- Prepare weekly progress summaries and near-term look-ahead schedules.
- Track critical path tasks.
- Monitor subcontractor progress against planned timelines.
Budget and cost control
- Help prepare and review payment applications.
- Track subcontractor invoices and purchase orders.
- Maintain budget logs and cost tracking records.
- Assist with change order records and supporting documents.
- Update the Schedule of Values.
Permitting and inspections
- Track permit submissions and approval progress.
- Arrange municipal inspections.
- Maintain inspection logs.
- Work with local municipalities throughout Florida.
- Follow up on unresolved permit comments.
Communication
- Communicate schedule updates and open items to subcontractors.
- Coordinate meetings and related logistics.
- Draft meeting minutes.
- Track and follow up on action items.
- Assist with reporting to owners.
Administrative support
- Maintain well-organized electronic project files.
- Prepare contracts and subcontractor packages.
- Track Certificates of Insurance.
- Track lien releases and compliance documents.
- Prepare Excel-based reports and tracking sheets.
Required Qualifications
Education
- Associate’s or bachelor’s degree in Construction Management, Civil Engineering, Architecture, Engineering Technology, or a related discipline is preferred.
- Equivalent hands-on construction experience may be accepted in place of formal education.
Experience
- 1 to 3 years of experience in residential construction, assistant project management, project engineering, or construction coordination.
- Experience with new construction is preferred.
Technical knowledge
- Advanced Excel ability, including charts, scheduling sheets, budget tracking, progress tracking, and reporting dashboards.
- Comfort working in Buildertrend for daily logs, scheduling, purchase orders, change orders, to-do lists, RFIs, selections, client communication, budget management, document storage, and file organization.
- Working knowledge of Microsoft Office tools, including Outlook, Word, Excel, Teams, OneDrive, and Adobe PDF.
- Basic understanding of residential construction sequencing and major building stages such as site work, foundations, concrete, masonry, wood framing, roofing, windows and doors, MEP systems, drywall, insulation, flooring, painting, final inspections, and the certificate of occupancy process.
- Familiarity with Florida construction practices is preferred.

Performance Expectations in the First 90 Days
- Independently handle project documentation for multiple residential jobs.
- Keep Buildertrend schedules and records accurate and current.
- Prepare weekly status reports and Excel tracking logs.
- Support permit submissions and inspection scheduling.
- Assist with subcontractor coordination and follow-up.
- Help Project Managers keep projects on schedule and within budget.
- Communicate professionally with municipalities, consultants, subcontractors, and owners.
Work Location
Florida, with travel across South Florida project sites as needed. The role is full-time and onsite.
