Overview
The Assistant Manager, Operations at St. Andrew's Community Hospital is responsible for managing key hospital operational services, including linen and laundry, food services, bed management, claims processing, and project oversight. This role ensures operational efficiency, compliance with healthcare regulations such as the Personal Data Protection Act (PDPA), and contributes to an outstanding patient care experience.
Primary Responsibilities
- Supervise all facets of linen and laundry services, guaranteeing prompt processing, distribution, and maintaining linen cleanliness, while optimizing inventory usage to control costs.
- Collaborate with the food services team to design and implement patient-appropriate menus, maintain food safety, and adhere to health regulations.
- Manage bed occupancy by coordinating with nursing and admissions to improve patient flow, reduce wait times, and optimize turnover rates.
- Oversee claims management for programs including Senior Mobility & Enabling Fund, One-Rehab, Medifund variants, and Financial Assistance Scheme by ensuring timely, accurate submissions and improving claims workflows.
- Serve as the liaison officer between the Ministry of Health and the hospital for inspections, ensuring compliance through regular audits and preparation for accreditation processes.
- Lead cross-departmental projects targeting the enhancement of operational efficiency, patient care, and service delivery, managing related timelines, budgets, and resources effectively.
- Ensure regulatory compliance with PDPA by conducting staff audits, reinforcing data protection policies, and safeguarding patient information privacy.
- Provide secretariat functions for management meetings, supporting communication and follow-up on strategic operational decisions.
- Promote interdisciplinary collaboration amongst clinical and administrative teams to address operational challenges and improve hospital services.
- Manage vendor relations and procurement for operational services such as linen and food, negotiating contracts and ensuring service quality and cost-efficiency.
- Recruit, train, and supervise operational staff, fostering professional growth and conducting performance evaluations to maximize team effectiveness.
- Develop, monitor, and manage operational budgets, applying cost control measures and leveraging data analytics to make informed management decisions enhancing hospital performance.
- Interface with clinical and administrative teams to address feedback and maintain high patient satisfaction.
- Adapt to fast-paced hospital environments with flexible working hours as required, and take on additional duties related to hospital service expansion and new project development.
Qualifications
- A minimum Bachelor’s degree in Healthcare Administration, Business Administration, or related discipline.
- At least five years of experience in healthcare operations management, particularly with linen and laundry, food services, or patient administrative functions.
- Strong leadership capabilities and excellent interpersonal communication skills.
- Proven problem-solving aptitude and project management proficiency, including financial analysis competencies.
- Comprehensive knowledge of PDPA and applicable healthcare regulations.
- Willingness to undertake additional roles and responsibilities as assigned.
