Overview
The Assistant role at MDDN is responsible for delivering comprehensive administrative support to both the company and artist teams, ensuring all operations align with MDDN's standards of service and professionalism.
Key Responsibilities
- Provide confidential administrative assistance with integrity and professionalism in managing business and personal contacts of the Executive.
- Manage the Executive's calendar including scheduling calls, meetings, and virtual sessions, ensuring all calendar information is accurate and current.
- Prepare daily schedules and reminders to enable executives to be well-informed and ready for upcoming commitments.
- Maintain accurate scheduling and calendar management for artists, collaborating closely with the Coordinator and Associate.
- Prioritize and highlight unresolved emails to the Executive in a timely fashion.
- Update artist one sheets weekly with the latest statistics and figures.
- Coordinate artist session scheduling as directed by the Executive.
- Ensure smooth communication flow between internal and external team members.
- Contribute to marketing strategy and creative brainstorming efforts.
- Arrange executive travel, ensuring precise scheduling across time zones; handle bookings, visas, accommodations, and detailed itineraries.
- Collaborate with the Tour Manager for travel coordination, preparing logistics for vans, hotels, and flights.
- Coordinate guest lists, press, and photography requests for shows in partnership with the Tour Manager.
- Support on-site activities at client events, shows, and shoots when requested.
- Maintain compliance with MDDN's social media formatting and posting standards.
- Perform additional assignments as designated by management.
Required Qualifications
- Possession of a High School Diploma or GED.
- 1 to 2 years of work experience within the Entertainment Industry.
- Exemplary common sense with a reliable, trustworthy nature, and the capability to remain calm under high-stress scenarios.
- Strong organizational skills with meticulous attention to detail, able to multitask and prioritize effectively in a fast-paced setting.
- Intermediate proficiency in GSuite and Microsoft Office applications.
Physical and Work Environment Requirements
- Must be able to stand, walk, or sit for extended periods exceeding eight hours.
- Capability to work in settings with loud noise levels.
- Exposure to environments containing bright, flashing, or strobing lighting.
- Occasional travel might be necessary to support artists and teams while on tour.
