Position Overview
We are looking for a detail-oriented and executive-level Administration & Finance Assistant to serve as a pivotal operational link between our executive leaders and external professional bodies. Situated at our Singapore HQ, your key responsibilities will involve managing corporate restructuring and entity conversions alongside corporate secretarial firms, and overseeing commercial financing milestones with loan intermediaries. This position requires excellent communication, precision in handling sensitive data, and a proactive approach.
Key Responsibilities
- Manage communication with Corporate Secretarial Firms to oversee complete entity conversion and restructuring processes for company directors.
- Track all phases of conversion, comprising document preparation, signatures, and filing with ACRA to ensure compliance deadlines are met.
- Collaborate internally with directors, shareholders, and multiple teams to obtain necessary approvals and signatures.
- Maintain and archive all mandatory corporate statutory paperwork, legal certificates, and approval records for compliance and audits.
- Provide ongoing updates to executive management, highlighting any possible bottlenecks or compliance delays.
- Function as the main operational liaison with financial brokers to lead commercial lending and financing projects.
- Support brokers in assembling comprehensive loan credit profiles, including corporate KYC, financial documents, bank statements, and company information.
- Oversee the sales pipeline for efficient communication between brokers, company directors, and internal teams.
- Arrange financing assessments, bank due diligence, and signing appointments.
- Prepare regular pipeline status reports documenting feedback and follow-up actions for management.
- Ensure smooth communication and data exchange between the China Operations Center and the Singapore Headquarters.
- Offer high-level administrative and operational assistance to the General Manager’s office as needed.
Requirements
- Education: Diploma or degree in Finance, Accounting, Business Administration, Corporate Secretarial Studies, or a related discipline.
- Experience: 1 to 2+ years, preferably with direct involvement in corporate registrations, ACRA filings, or small-to-medium enterprise (SME) business loans.
- Technical Knowledge: Familiarity with the Singapore Companies Act, ACRA compliance, and typical commercial lending procedures.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and comfortable interpreting basic financial and accounting documents.
- Fluent in English and Mandarin for effective interaction with regional entities and cross-border teams.
- Strong organizational skills, high confidentiality, integrity in handling sensitive corporate information, and exceptional multitasking in fast-paced settings.
- Preferred Qualifications: Independent experience with company formations, director changes, or filing annual returns.
- Knowledge of SME loan products from major banks (DBS, UOB, OCBC) is an advantage.
- Possession of Corporate Secretarial professional credentials (CSQP or equivalent) is favorable.
- Holding a valid Class 3/3A Singapore driving license is a plus.
