Site Coordinator

Role Overview

The Site Coordinator for ACMV (Air Conditioning & Mechanical Ventilation) installation is responsible for keeping the project moving smoothly from planning through execution, testing, and handover. The role focuses on coordinating site activities, supporting safety and quality standards, and making sure work stays aligned with the schedule, budget, specifications, and client expectations.

Core Responsibilities

• Plan and organise ACMV installation activities so that the site work follows the approved project timeline.
• Arrange manpower, materials, and equipment according to project requirements and work schedules.
• Work closely with subcontractors, suppliers, and vendors to ensure timely delivery and smooth execution of installation tasks.
• Oversee site preparation and make sure the required equipment and materials are available on site.
• Monitor installation of ACMV systems and related components, including ducting, piping, chillers, AHUs, FCUs, BMS systems, ESCS systems, Jet Fan systems, and other associated equipment.
• Ensure all installation work follows safety rules, PPE requirements, and established site safety procedures.
• Check that work quality matches project specifications, drawings, and required standards.
• Identify site and technical issues during installation and work with engineers and technicians to resolve them quickly.
• Provide practical on-site support to ensure ACMV systems are assembled and installed correctly based on design intent.
• Recommend or implement changes when unexpected issues arise or when improvements are needed for efficiency.
• Serve as a key contact point between the client and the project team so that requirements and expectations are properly addressed.
• Coordinate with supervisors, engineers, designers, the BIM team, and the Project Manager to ensure the installation meets design and technical standards.
• Prepare and share regular progress updates and reports with Project Managers, site engineers, and other stakeholders.
• Keep accurate records of daily site activities, inspections, and material consumption.
• Track any scope changes or variations and ensure the relevant parties are informed.
• Attend site meetings to review progress, raise issues, and plan upcoming work.
• Inspect installed systems and equipment to confirm they comply with design and installation requirements.
• Arrange pre-commissioning checks, including leak testing for ductwork and piping, and prepare ACMV RI and TOP inspection items before inspections.
• Support final commissioning activities such as testing, balancing, adjustments, and handover readiness.
• Conduct safety briefings and ensure workers are trained in ACMV-specific safe work practices.
• Promote environmentally responsible site practices, including waste reduction, emission control, and recycling where possible.
• Carry out risk assessments and help reduce on-site hazards.
• Attend daily morning exercises and toolbox meetings, carry out site walks, monitor progress, and assign work to subcontracted and direct workers as needed.
• Submit Permit to Work applications and other required permits, such as work-at-height, hot work, and confined space permits, through the main contractor’s NOVADE platform.
• Coordinate with other trades, including electrical, plumbing, and civil works, to avoid clashes and keep the project sequence on track.
• Monitor material usage and inventory to reduce wastage and avoid unnecessary overstocking.
• Support the handover process by ensuring manuals and other required documents are completed and passed to the client.
• Oversee defect rectification after installation and follow up to ensure issues are closed in a timely manner.
• Guide junior staff and technicians on technical methods, installation standards, and good site practices.

Requirements

• Diploma or higher qualification in mechanical engineering or a related field.
• At least 2 years of site experience.
• BIM experience will be considered an advantage.
• Must be self-directed and able to communicate clearly in English.
• Willing and able to work a 5.5-day work week.

Additional Information

This role is centred on full-cycle ACMV installation coordination, from planning and supervision to testing, commissioning, and final handover. The coordinator is expected to work closely with project stakeholders, manage site execution, maintain documentation, and support safe and efficient delivery throughout the project.
