Position Overview
The City of Maple Ridge is seeking a Receptionist/Switchboard Operator to provide comprehensive switchboard, reception, and clerical support for the Maple Ridge RCMP sections. This role demands a thorough understanding of departmental functions, excellent judgement, and a customer-focused approach to efficiently manage incoming calls, inquiries, and visitor interactions. The successful candidate will also perform routine clerical tasks and contribute to a welcoming public interface.
Primary Duties
- Manage incoming telephone calls by answering, screening, and properly directing them.
- Identify suitable referrals and connect callers to relevant departments or personnel.
- Take messages for unavailable staff and relay information accordingly.
- Handle general public and internal inquiries both via phone and at the reception desk.
- Guide visitors to correct departments or contacts.
- Maintain current knowledge of section staff and their roles.
- Type correspondence, reports, memoranda, and other documents in standard formats.
- Organize, file, and index correspondence and office records systematically.
- Support other sections with clerical duties and manage overflow work as needed.
- Carry out additional related duties as assigned.
Required Knowledge, Skills & Abilities
- Advanced proficiency in switchboard operation.
- Familiarity with modern office practices and procedures.
- Ability to memorize and interpret factual information regarding municipal departments.
- Clear and pleasant verbal communication skills.
- Professional and courteous interaction with the public and RCMP personnel.
- Strong attention to detail and sustained focus.
- Competence with standard office equipment.
- Typing ability of at least 60 words per minute where required.
- Skill in composing routine letters and memos.
- Able to understand and follow oral and written instructions effectively.
- Capability to perform routine clerical and moderately complex typing tasks.
- Sound knowledge of business English, spelling, and punctuation.
- Experience in office procedures and transcription/dictation skills.
- Ability to perform police computer data entry and retrieve information.
Education and Experience
Applicants should have completed high school with additional training in switchboard operation and typing. Some experience in switchboard management and receptionist duties is required, or an equivalent combination of relevant education and work history. Public relations training or equivalent experience related to front-line public service roles is highly desirable.
Licences and Certifications
Must be able to obtain and maintain RCMP Security Clearance.
Work Schedule
Work hours follow Schedule “B” (M) as per Article 12.01. Employees may be scheduled any seven-hour shift between 7:00 am and 12:00 midnight, Monday through Sunday. Shift differentials apply as per Article 13.10. Shift changes and preferences are based on seniority.
