About the Role

Long Wave Inc. is looking for a dedicated Proposal Coordinator to join the Contracts & Proposals department. This full-time exempt role reports to the Director of Contracts and supports the business development team by overseeing the entire sales proposal lifecycle. The coordinator ensures timely, compliant, and compelling responses to Requests for Proposals (RFPs) aligning with the company’s strategy to increase success in winning bids.

Key Responsibilities

Oversee the full RFP process from receipt through final submission, making sure client deadlines are strictly met.
Organize and lead kickoff meetings with technical and commercial team members to establish requirements and allocate responsibilities.
Edit and format proposals to accurately represent the client’s scope and the company's winning approach.
Ensure proposals comply fully with RFP/RFI guidelines and internal formatting standards before submission.
Manage and update the proposal content library, including boilerplate texts, project profiles, and standard templates.
Act as the main contact between field sales, technical experts, and leadership to facilitate coordination.
Maintain sales pipelines, update customer info, and document bid outcomes in the CRM system.
Support commercial document drafting, pricing reviews, and assembling pre-qualification materials.
Help transition projects smoothly from sales to account management or project delivery once contracts are won.

Qualifications & Experience

Bachelor’s degree in Business, Marketing, Communications, English, or related disciplines is required.
Two to five years’ experience in proposal coordination, bid management, or inside sales in relevant industries like construction, SaaS, or engineering.
Excellent written communication skills with strong attention to detail and proofreading ability.
Advanced skills using Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat.
Strong project management capabilities, effective cross-functional collaboration, and aptitude to perform well under tight deadlines.

Preferred Credentials

Familiarity with proposal management tools such as GovEagle.
APMP certification or pursuing certification.
PMP certification or in progress.
Knowledge of SAM.gov, FPDS, USASpending.gov, WAWF, and the Economic Development Administration (EDA).
Experience working on Department of Defense, federal government, or IT services contracts.
