Role Overview
We are expanding our Toronto team and seek a Project Coordinator specializing in industrial construction. This role collaborates closely with our Project Management Team and external consultants from project design stages through to completion, including building permit coordination. Select assignments provide the chance to act as an Owner’s Representative, gaining client-side oversight experience. The Project Coordinator will oversee various facets of construction projects including planning, scheduling, contract management, supervision, and reporting. Opportunities exist to independently manage scoped projects while receiving support from Project Managers.
Key Responsibilities
- Support the creation of conceptual project budgets.
- Contribute to developing preliminary design and construction schedules.
- Coordinate permit package preparation, including gathering drawings and documents needed for applications and approvals, facilitating municipal permits acquisition.
- Assist in preparing and issuing tender packages customized to project requirements.
- Analyze bids through detailed spreadsheets and offer recommendations for contractor and vendor selection.
- Prepare contracts, consultant service agreements, and vendor purchase orders for execution.
- Provide regular internal project schedule updates and construction status reports.
- Participate and contribute to project meetings and document meeting minutes as required.
- Maintain thorough record-keeping to ensure all project data is properly documented and safeguarded.
- Track and review Requests for Information (RFIs) and shop drawings, ensuring timely submissions according to project schedule.
- Assist in approving project change orders, facilitating accounting entries, and managing change control processes including reviewing scope justification and pricing accuracy.
- Control all project documentation across construction phases, maintaining comprehensive filing systems for submittals, RFIs, change logs, drawings, meeting minutes, and correspondence.
- Support processing progress billings from contractors, consultants, and suppliers.
- Monitor construction site progress and work quality, identifying and addressing schedule or specification deviations.
- Coordinate collection of close-out documents such as as-built drawings, warranties, and operation and maintenance manuals.
- Manage project close-out processes from an ownership perspective, ensuring service contracts, warranties, and maintenance agreements are organized and properly transitioned to owners or tenants.
- Perform other duties as assigned.
Desired Skills and Experience
- Two to four years of relevant experience in industrial or institutional construction environments.
- Willingness and ability to travel across Greater Toronto Area with access to a personal vehicle.
- Possession of a technical diploma or related university degree.
- Excellent written and verbal communication capabilities.
- Strong enthusiasm for construction and project management disciplines.
- Recognized analytical skills and research proficiency.
- Ability to manage heavy workloads, multitasking efficiently and prioritizing tasks.
- Strong work ethic and meticulous attention to detail with additional organizational abilities.
- Eagerness for ongoing learning and career development within construction and real estate development fields.
