Procurement Specialist

Overview

We are seeking a meticulous and analytical Procurement Specialist responsible for overseeing purchasing activities, evaluating suppliers and products, managing inventory demands, and ensuring timely and accurate order fulfillment. The successful candidate must be highly organized, adept with data analysis, and capable of effective coordination with suppliers and internal teams. Work hours are scheduled from 13:30 to 21:30 to maintain seamless communication with our New York City office.

Key Responsibilities

• Create and manage purchase orders aligned with operational and inventory requirements.
• Predict future purchasing needs by analyzing inventory data, consumption trends, past records, and anticipated demand.
• Conduct research and assess product specifications, pricing, quality, and alternatives.
• Solicit quotations from various suppliers and prepare detailed comparative analyses of prices and products.
• Negotiate terms including pricing, payment conditions, and delivery timetables.
• Maintain robust relationships with current suppliers and explore new vendor opportunities.
• Oversee inventory status and identify items requiring restocking.
• Collaborate with different departments to understand purchasing priorities and requirements.
• Monitor purchase orders from initiation through final delivery, ensuring compliance and accuracy.
• Follow up with suppliers to guarantee timely delivery of goods.
• Confirm that delivered items conform to required quantities, specifications, quality standards, and agreed pricing.
• Detect and resolve issues such as delays, shortages, damaged goods, or order inconsistencies.
• Keep thorough records of purchases, supplier details, quotes, orders, and delivery documentation.
• Analyze purchasing expenses to identify areas for cost reduction and process enhancement.
• Generate reports related to procurement activities, inventory status, supplier performance, and purchasing forecasts.

Qualifications

• Bachelor’s degree in Business Administration, Supply Chain Management, Finance, Economics, or a related discipline is required.
• Previous experience in procurement, purchasing, inventory management, supply chain, or a similar role is preferred.
• Excellent analytical, organizational, and problem-solving abilities.
• Competency in comparing products and quotations to make informed purchasing decisions.
• Strong communication and negotiation skills.
• Exceptional attention to detail and capacity to handle multiple purchase requests concurrently.
• Proficiency in Microsoft Excel and relevant business or inventory management software.
• Professional communication skills for interactions with suppliers and internal teams.
• Good command of both written and spoken English.

Preferred Experience

• Familiarity with purchasing forecasts and inventory planning processes.
• Experience in supplier evaluation and negotiation of purchasing terms.
• Understanding of logistics, shipment, order tracking, and delivery coordination.
• Ability to work autonomously while effectively liaising with multiple departments.
• Strong accountability and ownership over the procurement process.

Work Hours and Location

The position requires working onsite in Tirana, Albania, with hours set from 13:30 to 21:30 to coordinate closely with the New York City team.
