Key Responsibilities
- Manage the preparatory payroll process for our global entities, including Germany, Austria, France, Spain, Portugal, UK, and the Netherlands, ensuring accuracy and deadline adherence.
- Act as the primary liaison with external payroll providers, Employer of Record (EOR) services, and Professional Employer Organizations (PEO) in the US, overseeing compliance and promptly resolving statutory payroll queries.
- Provide expert support on payroll-related inquiries, serving as the main contact to address employee tickets with understanding and efficiency.
- Continuously seek and implement automation opportunities to streamline payroll workflows, minimize manual work, and enable scalable global operations.
- Collaborate closely with Revenue Operations to assure precise and timely calculation of commissions and performance bonuses.
- Partner with the Finance department in staff cost reporting, audit facilitation, and data-driven workforce planning efforts.
- Support Finance and Legal teams in applying for international grants and subsidies by providing accurate personnel data, salary records, and compliance documentation.
Ideal Candidate Profile
- Minimum three years of experience managing preparatory payroll for Germany, with additional experience in France and/or Spain preferred.
- Familiarity with payroll statutory requirements in Austria, UK, Netherlands, US, or Portugal is a distinct advantage.
- Proven experience coordinating with external payroll providers to ensure compliance; knowledge of EOR and PEO arrangements is beneficial.
- A process improvement mindset oriented toward system automation and workflow optimization between HRIS and payroll platforms.
- Strong analytical capabilities with proficiency in Excel or Google Sheets for managing complex datasets.
- Excellent communication skills, able to clearly and patiently explain complex payroll and tax topics to staff.
- Demonstrated ownership mentality, thriving in dynamic, fast-growing environments while maintaining transparency, compliance, and audit readiness.
- Fluent professional-level English and German communication skills, both written and spoken.
Employee Benefits
- Flexible leave policy averaging 30 days with no strict maximum, acknowledging life’s unpredictability.
- Ability to work temporarily (up to 180 days annually) from other EU countries if residing in the EU.
- Provision of necessary hardware including a personal MacBook.
- For residents of Hamburg or Berlin, access to a Deutschland ticket or mobility budget via the NAVIT app.
- Subsidized memberships to Urban Sports Club or ClassPass depending on location.
- Access to coworking spaces in major cities with Appinio presence such as Hamburg, Berlin, Munich, London, Madrid, Barcelona, or New York.
