About the Role
Leland Management is inviting applications for a full-time Office Administrator position to be based onsite at a 55+ community in Leesburg, Florida. Key Responsibilities
- Serve as the primary customer service liaison for the Management Team, addressing initial inquiries via phone, walk-in visits, email, and other communications.
- Manage day-to-day operations of the HOA Office under the supervision of the General Manager, ensuring a safe, clean, and welcoming environment for residents and community volunteers.
- Maintain all office filing systems and keep records organized.
- Monitor, update, and track community work orders regularly.
- Receive Architectural Review Committee (ARC) applications from residents, verify completeness of documentation, and forward for timely review.
- Assist in managing the RV Storage Lots within the community.
- Collaborate with the Resident Services Office (RSO) team to support residents, including handling copies, faxes, and generating work orders through Caliber software, while maintaining the Architectural Review Committee Program.
- Prepare materials for Board meetings including board packages, agendas, and posting meeting materials in common areas.
- Support the Community Association Manager by distributing communications to residents.
- Maintain up-to-date contact information for the Board of Directors such as emails and phone numbers.
- Undertake special projects and other duties as assigned by the Community Association Manager.
Required Qualifications and Skills
- Valid Florida Driver’s License is mandatory.
- Capability to maintain professionalism in a fast-paced environment.
- At minimum, a high school diploma or equivalent; additional education or relevant certifications considered advantageous.
- Strong command of the English language, both spoken and written.
- Exceptional organizational abilities with effective multitasking and prioritization skills.
- Proficient interpersonal and communication skills to interact with a diverse community population.
- Familiarity with Microsoft Office applications, especially Word and Excel.
- Experience with Caliber Software is advantageous.
- Previous exposure to large community associations or similar administrative roles preferred.
- Cultural sensitivity and empathy essential for working with diverse homeowners.
