Role Overview
The Logistics & Order Management Specialist is tasked with overseeing the entire lifecycle of customer orders—from receipt through to shipment and final delivery. This role involves acting as the central coordinator among customers, sales, purchasing, warehouse teams, freight carriers, and accounting to guarantee accurate order processing, timely delivery of shipments, and top-notch customer service. Beyond basic order entry, the position demands a comprehensive understanding of logistics, international shipping protocols, documentation, inventory management, and customer operations.
Primary Responsibilities
- Handle end-to-end order management including order verification, processing, invoicing, and delivery.
- Validate purchase orders for accuracy, including pricing, product specifications, quantities, freight terms, and customer requirements.
- Accurately input and maintain customer orders within the ERP system.
- Manage modifications such as order changes, cancellations, and revisions.
- Issue order confirmations and acknowledgments promptly.
- Monitor inventory levels, manage backorders and lead times, and communicate updates proactively to relevant stakeholders.
- Coordinate both domestic and international shipments effectively.
- Prepare all necessary shipping documents, including commercial invoices, packing lists, bills of lading, certificates of origin, customs declarations, and export paperwork ensuring compliance with customer and regulatory standards.
- Liaise with freight forwarders, customs brokers, and transport providers to facilitate smooth shipments.
- Monitor shipments, troubleshoot delivery challenges, manage freight claims, and address discrepancies.
- Implement knowledge of Incoterms and international shipping best practices to ensure accurate routing and billing.
- Act as the key contact point for customers regarding order status, delivery timelines, product availability, and resolve any concerns to uphold high satisfaction levels.
- Foster professional and responsive customer relationships.
- Partner closely with Sales, Purchasing, Warehouse, Shipping, and Accounting teams to synchronize order fulfillment activities.
- Keep customer, product, and order data current within the ERP system and seek continual improvements in operational efficiency and order accuracy.
Qualifications
- Three to five years or more of relevant experience in logistics, order management, customer service operations, or supply chain roles.
- Proven experience handling both domestic and international shipping logistics.
- Strong proficiency in shipping documentation, freight coordination, and export procedures.
- Familiarity with customs documentation and Incoterms is a significant advantage.
- Preferred background in manufacturing, wholesale distribution, import/export, or related environments.
- Skilled in ERP software and Microsoft Office applications, especially Excel and Outlook.
- Exceptional organizational attention to detail coupled with strong communication, problem-solving, and time management capabilities.
- Ability to juggle multiple priorities calmly and efficiently within a dynamic workplace.
