Role Overview
As the Front Desk Coordinator at Clay's New York City headquarters, you will serve as the primary point of contact for employees, guests, and partners. This role goes beyond routine reception duties; it involves setting a welcoming and professional tone that defines the entire visitor experience. Your responsibilities will encompass maintaining smooth entry and access protocols, managing mail and packages, supporting events, and collaborating with various teams to foster a cohesive workplace environment.
Primary Responsibilities
- Deliver an inviting and professional welcome to all visitors and staff, creating a positive first impression of Clay.
- Proactively address needs and resolve issues swiftly to ensure seamless interactions, including candidate interviews, executive visits, and onboarding new employees.
- Manage building coordination tasks such as submitting candidate registrations and maintenance requests, and communicating office facility concerns effectively.
- Oversee access control by managing entry points, verifying IDs, and registering visitors using Envoy while adhering strictly to security guidelines.
- Maintain comprehensive daily logs, incident reports, and security documentation, promptly reporting any maintenance or safety matters.
- Support event operations by handling visitor registration, badge issuance, NDA collection, and collaborating with the Workplace Experience Team.
- Efficiently organize, log, and distribute all incoming mail and packages to ensure timely and orderly delivery.
- Innovate by integrating AI solutions to enhance and streamline visitor and operational experiences.
Qualifications and Skills
- At least two years of relevant experience in a workplace environment.
- High emotional intelligence enabling effective relationship-building at all organizational levels, creating comfort and positive impressions.
- Adaptability to shift between different responsibilities and priorities fluidly during the workday.
- Exceptional organizational skills with keen attention to detail, able to maintain composure and think quickly under pressure to establish order.
- Excellent communication abilities both in person, by phone, and in writing, representing Clay professionally to executives, candidates, and partners.
- Ability to handle sensitive information discreetly, maintaining full confidentiality.
- Experience working cross-functionally to provide outstanding service while fostering social connections within the workplace.
