Overview
We are looking for a highly organized and service-driven Facilities & Workplace Manager to oversee daily office operations and foster an excellent workplace atmosphere at our Munich location. This role blends facilities management, workplace administration, health and safety leadership, alongside on-site support for employees, HR functions, and executive assistance. The ideal candidate excels in a dynamic environment, enjoys diverse responsibilities, and ensures smooth, efficient workplace operations.
Main Responsibilities
Facilities & Workplace Operations (about 50% of role):
- Oversee all office facility and workplace functions for the Munich office.
- Act as lead contact for building management, landlords, vendors, and service providers.
- Coordinate maintenance, repairs, cleaning, security, access control, and workplace enhancements.
- Manage office inventory, supplies, equipment, and furniture.
- Handle workplace budgets, purchase orders, invoicing, and vendor agreements.
- Organize office events, meetings, catering, and employee activities.
- Maintain high standards for conference rooms, common areas, and office spaces.
- Support emergency preparedness and business continuity efforts.
Health, Safety & Workplace Leadership:
- Lead health, safety, and wellbeing initiatives at the Munich site.
- Create and promote an active safety culture encouraging employee engagement and accountability.
- Manage health and safety programs, campaigns, training, and communications to drive workforce participation.
- Collaborate with leaders and teams to identify risks and establish preventative measures.
- Encourage employee safety involvement through committees, feedback, and engagement events.
- Conduct safety inspections, risk assessments, and audits with prompt issue resolution.
- Oversee incident documentation, investigations, corrective actions, and lessons learned.
- Ensure compliance with relevant health and safety laws and company policies.
- Coordinate emergency readiness, business continuity, and response plans.
- Analyze and report safety metrics to support ongoing improvement and awareness.
Human Resources Assistance:
- Support employee onboarding and offboarding onsite.
- Assist new hire orientation, workspace setups, and employee experience programs.
- Coordinate employee engagement and HR-related office activities.
- Handle local employee relations matters and act as liaison with the wider HR team.
- Help with benefits communication, workplace culture initiatives, and employee events.
Executive & Administrative Support:
- Provide admin assistance to Munich leaders and visiting executives.
- Manage calendars, meeting logistics, travel bookings, and visitor coordination as needed.
- Assist preparations for leadership meetings, presentations, and team functions.
- Support special projects and operational initiatives driven by leadership.
Qualifications
- 3 to 5+ years' experience in facilities management, workplace operations, office administration, or a related field.
- Proficient in both German and English communication, written and spoken.
- Knowledge of workplace health and safety standards and compliance.
- Strong organizational, multitasking, and project coordination skills.
- Excellent interpersonal and communication abilities.
- Familiarity with Microsoft Office and Google Workspace tools.
- Self-driven with ability to prioritize and manage tasks proactively.
- Preferred: Experience in HR program support or employee experience initiatives.
- Preferred: Executive or administrative support background for senior management.
- Preferred: Health and Safety certification or related qualifications.
- Preferred: Experience in fast-paced industries such as technology, aerospace, or high-growth environments.
