Job Overview
We are looking for a highly organized and detail-driven Executive Engagement Facilitator to manage and coordinate executive engagements for a cabinet-level government client. This role involves handling the entire lifecycle of senior executive events, from initial invitations to final execution, ensuring seamless operations in a high-profile secretariat setting.
Key Responsibilities
- Evaluate and process requests for executive-level external engagements, preparing weekly packages for leadership review and direction.
- Collaborate with client stakeholders to obtain context and requirements essential for successful event delivery.
- Assist the executive secretariat team with the creation of comprehensive briefing materials and engagement documentation for proposed and authorized travel and activities.
- Work closely with protocol teams to ensure smooth management of visits, coordinating with security and support personnel.
- Support government officials and experts in organizing and executing executive foreign travel.
- Partner with the executive secretariat lead to translate event concepts into refined and polished engagements suitable for cabinet-level principals.
- Deliver all event preparation and support services accurately and professionally, avoiding logistical and planning mistakes.
- Perform any additional administrative or protocol tasks as assigned by government staff.
Qualifications and Experience
- Must be a U.S. citizen with an active Top Secret SCI clearance including a polygraph.
- Bachelor’s degree in National Security, Foreign Affairs, Public Administration, or a related discipline.
- Over 10 years’ experience supporting executive-level leadership directly.
- Deep understanding of the U.S. Intelligence Community and federal government processes.
- Excellent writing, proofreading, and grammatical skills with keen attention to detail.
- Superior time management and organizational capabilities to handle multiple high-priority projects simultaneously.
- Strong interpersonal skills with the ability to maintain composure, confidence, and professionalism under pressure and with limited supervision.
- Proven experience creating briefing and travel books for senior executives and cabinet officials.
- Knowledge of cable writing, classified databases, and executive communication protocols.
- Experience in using customer databases for tracking field activities and liaising with field offices.
- Familiarity with agency communication and travel coordination platforms.
- Capability to handle sensitive information discreetly while engaging diverse stakeholders.
- Proficiency with Microsoft Office programs such as Word and Excel.
- Willingness to complete further vetting and sign non-disclosure agreements.
Preferred Attributes
- Experience supporting senior executive or civilian service personnel such as SNIS, DISES, SES.
- Prior involvement in executive secretariat operations.
