Role overview
AbbVie is hiring an Executive Assistant to support the Director of ME&C Security and the Director of Supply Chain Security at the North Dublin site. The role is responsible for keeping day-to-day leadership operations running smoothly, improving coordination, and ensuring the teams can operate efficiently with strong communication and attention to detail.
You will handle calendar planning, meeting and event coordination, and support both internal and external interactions so the leadership teams can stay focused on strategy and decision-making.
Key responsibilities
- Provide administrative support to the Director of ME&C Security and the Director of Supply Chain Security, including calendar coordination and daily leadership team support.
- Organize leadership team meetings by managing schedules, agendas, action tracking, metric collection, distribution of materials, and preparation of reports, presentations, and status updates.
- Join leadership meetings from time to time to help ensure reporting and metrics are aligned.
- Support projects with the Global Security cross-functional teams, including all-employee meetings, employee and team culture initiatives, engagement activities, and assistance to local teams where needed.
- Handle communication across different levels through email updates and support content for digital screens on site, particularly for security-related messages, in coordination with communications leads.
- Arrange leadership events, off-site training, and team-building activities as requested.
- Coordinate visits for important internal and external guests, including accommodation, transport, meeting rooms, catering, and restaurant reservations.
- Maintain the meeting room booking system.
- Organize flights, hotel stays, and car hire for the directors, their direct reports, and sometimes the wider leadership team, balancing cost, timing, and convenience.
- Support expense claims through Concur for the directors.
- Raise requisitions for e-Carts and manage purchase order-related tasks, including order creation and payments for leadership team functions.
Requirements
- A third-level qualification in business or a related subject is preferred.
- 3 to 5 years of experience in a comparable role, ideally gained in a multinational company.
- Strong working knowledge of MS Office, including PowerPoint.
- Fast and accurate typing ability, strong organization, and clear communication and interpersonal skills.
- Ability to manage sensitive information discreetly and with integrity.
- Proactive approach to daily responsibilities.
- Fluent English is required; French would be an advantage.
