Role Overview
RBC is looking for an Executive Assistant to provide essential support to the Vice Presidents of Operational Excellence and Talent Data Management & Analytics within Human Resources. This role involves managing schedules, organizing events, and handling correspondence to contribute to the effectiveness of the executive leadership team.
Key Duties
- Manage calendars for the VPs, prioritize appointments, handle scheduling conflicts, and coordinate both virtual and in-person meetings including booking locations and equipment.
- Produce high-quality correspondence, documents, and reports with attention to detail, including letters, briefing notes, and announcements, ensuring deadlines and commitments are met.
- Develop presentation materials and meeting agendas, collecting pertinent information in preparation for meetings.
- Organize business planning sessions, staff and management meetings, bi-weekly team meetings, and one-on-one sessions with direct reports globally, including follow-up on agenda items and deliverables by collaborating with facilitators and presenters.
- Act as a delegate for managing emails and voice mail during the VPs’ absences by handling, forwarding, and prioritizing issues for timely action upon their return.
- Prepare and review expense reports ensuring accuracy and compliance with finance policies before approval, and confirm expenses are reimbursed in accordance with guidelines.
Required Qualifications
- Experience in communications and event coordination.
- Proficiency in Microsoft PowerPoint and Word.

- Background in human resources is advantageous.

Additional Information
This is a fixed-term contract position based in Toronto at 20 King St W. The role involves a 37.5-hour work week and is full-time salaried employment.
