Position Overview
We are looking for a highly skilled and discreet Executive Assistant to provide comprehensive support to the President at a luxury retail organization based in Houston, TX. This role demands exceptional organizational talent, resourcefulness, and the ability to multitask effectively in a dynamic environment. The successful candidate will manage both business and personal responsibilities with utmost confidentiality and professionalism.
Key Responsibilities
- Efficiently manage the President’s busy calendar by organizing meetings, appointments, and priorities.
- Serve as a reliable liaison coordinating communications with executives, clients, partners, and vendors.
- Prepare presentations, reports, and briefing materials to aid executive decision-making.
- Handle incoming correspondence, prioritize requests, and assure timely follow-ups on action items.
- Adapt quickly to evolving priorities and provide support beyond standard hours when necessary.
- Arrange complex domestic and international travel logistics including flights, accommodations, ground transport, and detailed itineraries.
- Book executive dining and events, accommodating schedule changes and time zone differences.
- Maintain precise tracking and reconciliation of travel expenses and budgets including corporate credit card usage.
- Collaborate with security teams to support the safety of the executive and family during travel and daily operations.
- Manage secure transportation and logistics for business trips, special events, and protect valuable company assets.
- Oversee visitor access protocols, confidentiality agreements, and security measures for executive offices and residences.
- Respond promptly to security notifications, serving as an essential contact for urgent travel or residence matters.
- Provide personal scheduling, household management, and family logistical support.
- Handle personal appointments, private travel, events, concierge tasks, and billing with discretion and professionalism.
Qualifications
- Between 3 to 7 years of experience supporting C-suite executives, entrepreneurs, family offices, or high-profile individuals.
- Background in luxury retail, hospitality, fine jewelry, fashion, private aviation, or similar upscale service sectors is preferred.
- Excellent organizational and time management capabilities, adept at handling multiple concurrent priorities.
- Experienced in coordinating intricate domestic and international travel arrangements.
- Superior written and verbal communication skills coupled with professionalism.
- Proficiency with Microsoft Office 365, Google Workspace, and common business technologies.
- Sound judgment, ability to maintain strict confidentiality, and operate independently in a fast-paced environment.

- Salary Range: $95,000 to $110,000 annually
- Work Schedule: Monday to Friday with availability required after hours and on weekends
