About the Role
Join our dynamic team as an Executive Assistant within Macquarie Capital in Singapore, a global financial services group with over five decades of continuous profitability in 30 markets. Key Responsibilities
- Provide high-level administrative support to executives and team members in a fast-paced, collaborative team setting.
- Manage complex calendar coordination, scheduling internal and external meetings across multiple time zones, including booking venues, arranging catering, and preparing meeting documents.
- Handle extensive email inboxes to assist with communications and correspondence.
- Coordinate intricate domestic and international travel plans encompassing flights, accommodation, visas, transportation, and client entertaining.
- Assist in organizing local employee events, such as year-end celebrations, company-wide meetings, and other staff activities.
- Process purchase orders, invoices, and monthly expense claims efficiently.
Required Qualifications and Attributes
- Demonstrated experience in executive assistance or team support roles, preferably in financial services, investment banking, fund management, or professional services.
- Proven capability in managing complex travel and executive support functions in demanding environments.
- Excellent organizational, planning, and multitasking skills, with the capacity to prioritize competing demands effectively.
- Strong verbal and written communication skills in English to engage with key stakeholders professionally.
- Proactive, enthusiastic, adaptable, and collaborative mindset with the ability to anticipate needs and respond to shifting priorities.
