Role Overview

This position provides senior-level administrative support to the President and CEO in the Matthews, NC office. The role requires someone who can work independently, stay several steps ahead of leadership needs, and manage sensitive information with a high degree of professionalism.

Executive Support

  • Deliver advanced administrative assistance to the President and CEO.
  • Work with minimal supervision while anticipating business and executive requirements before they arise.
  • Handle private and time-sensitive information with care, judgment, and discretion.
  • Act as a reliable point of contact for executives, staff, clients, vendors, and other outside partners, including support with HR-related matters.

Calendar and Schedule Management

  • Organize demanding executive calendars, meetings, appointments, and events.

  • Own travel planning for the CEO and support travel arrangements for other executive leaders.
  • Coordinate domestic and international travel, including flights, lodging, ground transport, and full itineraries.
  • Ensure executives have the necessary travel documents and maintain current calendars in SharePoint for leadership and field teams.

Expense and Office Administration

  • Prepare and submit expense reports accurately and on schedule.
  • Order office supplies and manage corporate gifts and recognition items.
  • Handle copying, scanning, binding, mailing, sorting, and distribution tasks.
  • Maintain orderly digital and physical filing systems.

Operational and Project Support

  • Act as a communication and planning center for the Matthews office and executive team.
  • Support research, special projects, and other operational work as needed.
  • Use critical thinking and data analysis to solve administrative issues.
  • Contribute to process improvements and more efficient administrative workflows.
  • Work with key team members to keep projects and organizational activities prioritized.

Qualifications
