About the Role
Our client, a prominent leader in the finance industry, is seeking an experienced Executive Assistant to join their expanding team in Tampa, FL. This position offers an annual salary between $85,000 and $115,000, commensurate with experience, along with eligibility for bonuses. The successful candidate will play a critical role supporting the Managing Partner during a dynamic growth phase, functioning as a trusted business partner who facilitates executive priorities and streamlines daily operations beyond conventional calendar management.
Key Responsibilities
- Deliver comprehensive support to the Managing Partner at an executive level.
- Handle complex calendar schedules, coordinate meetings, and manage comprehensive scheduling.
- Organize domestic travel plans and oversee expense reports.
- Anticipate and resolve scheduling conflicts and juggle competing priorities proactively.
- Create and optimize organizational systems, workflows, and administrative best practices.
- Draft professional correspondence, prepare materials for meetings, and manage confidential communications with discretion.
- Function as a reliable gatekeeper using sound judgment and confidentiality.
- Liaise with internal teams to ensure prompt action on key initiatives.
- Support office management, executive events, and special projects as needed.
- Identify and implement administrative process improvements utilizing technology and automation.
- Maintain strict confidentiality when managing sensitive business information.
Required Qualifications and Skills
- Over 10 years of experience providing executive administrative support to senior executives, partners, or C-suite leaders.
- Ability to work independently with minimal oversight.
- Exceptional organizational aptitude, including adept calendar and time management.
- Strong executive presence with excellent written and oral communication skills.
- High level of professionalism, discretion, maturity, and sound judgment.
- Capability to manage multiple urgent priorities in a high-paced environment.
- Strong attention to detail and follow-up reliability.
- Proficiency in Microsoft Office Suite, Concur, and other executive productivity software.
- Experience employing AI workflow and productivity tools to enhance operational efficiency.
- A proactive, self-starting, solution-driven orientation.
Preferred Experience
- Background in executive support within private equity, investment management, financial services, or professional services sectors.
- Prior experience assisting entrepreneurial founders or managing partners.
- Familiarity with AI-powered productivity tools and workflow automation.
- Track record of enhancing administrative processes and achieving operational efficiencies.
- A motivation to advance into broader operational leadership or Chief of Staff roles.
- Demonstrated commitment to continuous improvement and initiative taking.
Education
- A Bachelor's degree is preferred but not mandatory.
- Robust executive support experience may substitute for formal educational credentials.
