Role Overview
The Executive Assistant position directly supports the Head of Data, Analytics & Fraud, ensuring smooth daily operations for the leader. This role demands proactive and efficient calendar management, stakeholder engagement, and preparation of essential meeting materials in a fast-paced environment to maintain accountability and confidence.
Responsibilities
- Manage the leader's calendar and daily activities aligned with business priorities for optimal time use.
- Prioritize meeting invites by understanding urgency and the business context.
- Provide timely updates on upcoming meetings, obligations, and project deadlines.
- Prepare and present materials for meetings promptly.
- Coordinate delivery of assigned tasks for the leader.
- Collect, update, and review required materials with stakeholders.
- Arrange meeting logistics including invitations, room bookings, and resources.
- Assist in organizing departmental events.
- Create and proofread PowerPoint presentations and other documents.
- Organize leader’s travel preferences, bookings, and related documents.
- Maintain organized filing systems for business and operational reports.
- Review corporate expenses regularly to ensure compliance with reimbursement policies.
- Possibly contribute to committees such as Diversity & Inclusion and keep the leader informed of upcoming initiatives.
Qualifications and Skills
- Minimum five years’ experience as an executive assistant, administrator, or business manager supporting senior leadership.
- Eligibility to work full-time in Canada for Interac Corp.
- Strong analytical and problem-solving abilities for clear and effective solutions.
- Critical thinking skills combined with sound judgment to achieve goals.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication; ability to collaborate and build relationships.
- High attention to detail with superb time management and organizational skills.
- Familiarity with social media and collaboration platforms such as LinkedIn.
- Ability to maintain composure and decisiveness under pressure.
- Exemplary discretion, maturity, common sense, and confidentiality maintenance.
Compensation & Benefits
The salary range for this position is $70,000 to $80,000 annually, complemented by a short-term incentive plan.
