Role Overview
The Executive Assistant position requires a highly organized and proactive professional to deliver comprehensive administrative support to senior executives. The incumbent will handle executive calendars, coordinate communication efforts, organize meetings, and ensure seamless daily operations. The role demands meticulous attention to detail, excellent interpersonal skills, and utmost confidentiality.
Key Responsibilities
- Oversee scheduling and management of executive calendars, meetings, and appointments.
- Arrange domestic and international travel logistics, including flights, accommodations, and detailed itineraries.
- Prepare diverse business documents such as presentations, correspondence, and reports.
- Organize meetings, prepare agendas, record minutes, and track action items effectively.
- Serve as the main liaison between executives and both internal teams and external partners.
- Manage and prioritize emails, phone calls, and other communications on behalf of senior leadership.
- Handle sensitive records and confidential information with discretion.
- Provide administrative support for business projects and executive initiatives.
- Coordinate company events, leadership meetings, and interactions with stakeholders.
- Monitor executive deadlines and readiness for upcoming meetings and deliverables.
- Maintain well-organized filing systems and document management.
- Perform other administrative tasks and special projects as assigned.
Qualifications and Requirements
- Preferably holds a bachelor's degree in business administration, management, or a relevant discipline.
- 3 to 5 years of proven experience as an Executive or Personal Assistant supporting senior or C-level executives.
- Exceptional organizational, planning, and multitasking capabilities.
- Fluent in English, both written and verbal communication.
- Advanced skills in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong focus on details with capability to handle competing priorities efficiently.
- Ability to work autonomously with professionalism and discretion.
- Excellent relationship-building and stakeholder engagement skills.
- Sound judgment and strong problem-solving aptitude.
- High ethical standards concerning confidentiality and integrity.
- Comfortable and adaptable in a fast-moving corporate environment.
