Role Overview
As a Correspondence Officer, you will coordinate and manage workflow related to department-specific communications. You will use internal workflow and email platforms to track and assign tasks, ensuring correspondence reaches the correct teams with clear deadlines. Managing and editing draft responses, you will oversee the internal approval process, reassign incorrectly directed correspondence, and maintain a robust knowledge base.
Key Responsibilities
- Manage departmental correspondence workflows and communication channels efficiently.
- Utilize internal workflow management tools and email systems to monitor task progress.
- Analyze incoming correspondence, allocate it to appropriate internal departments, and assign responsibilities with clear deadlines.
- Review and edit draft responses while managing their approval processes internally.
- Redirect correspondence received by the wrong units to the proper business areas.
- Track timeframes to ensure compliance with key performance indicators and service standards.
- Maintain and update the collective knowledge repository for team use.
- Efficiently handle high-volume shared inboxes.
Qualifications and Skills
- Strong written communication and keen attention to detail.
- Proficiency with enterprise software, records management systems, and shared inbox handling.
- Capacity to prioritize workload with an understanding of deadlines and Service Level Agreements (SLAs).
- Demonstrated initiative, ability to perform root-cause analysis, and contribute to Standard Operating Procedure (SOP) development and continuous improvement efforts.
- Collaborative mindset with skills in respectful conflict resolution, reliability, and client-focused service delivery.
- Self-driven with adaptability, quick learning ability, and strict adherence to data confidentiality.
Compensation and Benefits
- Hourly rate starting at $54.34 plus superannuation.
- Work location includes Chermside and Eagle Farm offices with onsite parking available.
- Fixed-term contract through to 31 December 2026, with potential for extension.
