About the Role
We are seeking an Administrative Assistant for several locations including Edinburgh, London, Chatham (Kent), Canterbury, Exeter, Colchester, Gloucester, and Keele. This position supports our summer education campuses throughout summer 2026, providing vital administrative assistance to the management teams and ensuring smooth daily operations.
Compensation and Duration
The total weekly salary is £598.25, inclusive of holiday pay. Accommodation is provided as part of the package.
Work Hours
This role involves a 42-hour workweek which may span 5 or 6 days, including Saturdays for campuses operating six days a week. Hours depend on campus needs.
Main Responsibilities
- Create a safe, welcoming environment for students and colleagues.
- Support the Academic Management Team in delivering the academic program and assist the Non-Academic Team in coordinating extracurricular activities.
- Provide administrative assistance including organization and maintenance of office records, spreadsheets, databases, and filing systems.
- Serve as liaison between academic and non-academic teams to ensure information accuracy across the center.
- Assist with student arrival orientation, ensuring students receive necessary materials like keys, lanyards, and ID badges.
- Help the Director of Studies organize the academic program using digital tools such as Google Drive and Master Spreadsheets.
- Manage student class assignments considering age, language proficiency, and diversity factors.
- Support classroom management by assisting with class lists, attendance registers, and certificate preparation and distribution.
- Maintain accurate staff records, schedules, personnel files, and assist with payroll and observation scheduling.
- Manage records related to room assignments, fire drills, student injuries/incidents, attendance, and feedback collection.
- Provide effective communication and administrative support during management meetings including minute taking and preparation of reports.
- Additional duties include supervising students during free time, greeting guests, and assisting with catering and general office tasks.
Essential Qualifications & Skills
- Minimum of a National 5/Standard Grade (GCSE) in English.
- Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
- Strong understanding of company policies, excellent written and verbal communication skills with tact and discretion.
- Exceptional interpersonal skills to interact respectfully with staff and external contacts.
- Confident in multitasking, planning, and prioritizing work independently with attention to detail.
- Proactive and solution-oriented approach to problems.
Desirable Experience
- Familiarity with Google Workspace tools such as Drive, Sheets, Docs, Forms, and Slides.
- Experience handling work under pressure and meeting tight deadlines.
- Previous experience working in summer schools is an advantage.
Additional Information
- Applicants must declare any criminal convictions and eligibility to work in the UK.
- Three references are required, including character references and confirmation of suitability to work with minors.
- Disclosure and background checks must be completed prior to commencing employment — PVG for Scotland, DBS for England, Garda Vetting for Ireland, or relevant equivalents for other countries.
- Costs for disclosure checks are the employee’s responsibility and will be deducted from salary.
- Disclosure process can take between 14 days and up to 18 weeks.
