Sensity is a Canadian not-for-profit dedicated to serving the deafblind community, internationally recognized for providing Intervenor Services.
Role Summary
We are looking to fill the role of Scheduling Coordinator immediately. Reporting to the Scheduling Team Lead, this full-time position based in Paris, Ontario, manages employee scheduling and attendance while improving related agency processes. The scheduling team operates seven days a week to ensure critical residential services continue uninterrupted.
Key Responsibilities
- Establish and nurture effective working relationships with frontline staff, supervisors, and management.
- Manage and maintain employee schedules within services programs, ensuring compliance with all relevant legislation and meeting deadlines.
- Create and distribute schedules adhering to collective agreement timelines.
- Work alongside supervisors to promptly fill all vacant shifts caused by absences, vacations, or training.
- Develop and deliver training on scheduling software to frontline staff and supervisors.
- Assist payroll processes through daily approvals, timesheet reviews, overtime calculation, and adjustments within scheduling systems.
- Administer a shift bidding system, evaluating and awarding shifts consistent with the collective agreement.
- Coordinate public holiday work assignments following established procedures and collective agreements.
- Communicate scheduling updates regularly with Intervenor Services Coordinators and Managers.
- Collaborate with supervisors and management to adjust rotational schedules in response to program needs.
- Resolve both planned and unexpected scheduling conflicts efficiently.
- Support accommodations for employees returning from leave.
- Maintain and analyze scheduling data, including absence and call-in tracking, and produce reports as required.
- Provide critical support to on-call supervisors managing last-minute staff absences.
- Identify opportunities to enhance scheduling processes and contribute to implementing improvements.
- Participate in research, committee activities, and other duties as assigned.
Qualifications
- College diploma or equivalent in business or office administration.
- At least two years of experience in business or office administration with demonstrated expertise in employee schedule management.
- Familiarity with Inclusion software is a plus.
- Understanding of scheduling methodologies and knowledge of relevant laws such as the Employment Standards Act and Human Rights Code.
- Strong communication skills and client service focus; able to work independently and collaboratively.
- Excellent time management, attention to detail, and organizational abilities; adaptable to shifting priorities.
- Proficient with Microsoft Office, especially Word, Excel, and Outlook.
Compensation and Benefits
- Annual salary range: 43000 to 50000 CAD.
