About the Role
Zirtual provides a balanced work-life environment by offering clients skilled remote assistants for both personal and professional assistance. As a Virtual Executive Assistant at Zirtual, you will serve as the main contact for assigned clients, delivering proactive and high-quality support while managing multiple tasks efficiently.
Key Responsibilities
- Organize and coordinate complex calendars, schedule meetings, calls, and events across various time zones, resolving conflicts proactively.
- Manage email inboxes by drafting, responding, prioritizing communications, and ensuring timely follow-ups while acting as a liaison between clients and contacts.
- Prepare various documents, presentations, and reports; maintain file organization and data entry; support project coordination and track tasks.
- Arrange travel plans including flights, accommodations, and transportation; create detailed itineraries and adjust plans as needed; coordinate both virtual and in-person events.
- Assist with day-to-day business operations, conduct research, gather information, and suggest process improvements to enhance efficiency.
Required Skills and Qualifications
- Exceptional organizational and time management abilities.
- Strong verbal and written communication skills with high attention to detail.
- Ability to handle multiple clients and meet tight deadlines independently.
- Resourcefulness with a proactive, solution-focused mindset suited for remote work.
- Associate's or Bachelor's degree in Business Administration or a similar field, or equivalent experience.
- 2 to 4+ years experience as an executive or administrative assistant, ideally supporting multiple clients or executives.
- Typing proficiency of 50+ words per minute with accuracy.
- Familiarity with Google Workspace and Microsoft Office suites.
- Experience using calendar tools like Google Calendar or Outlook and project management/CRM applications such as Asana, Trello, ClickUp, Zoho, or Salesforce.
- Comfortable with communication platforms including Slack, Zoom, and Teams.
- Reliable high-speed internet, computer, and phone setup; ability to maintain confidentiality and professionalism.
- Availability during standard business hours (PST or EST, Monday to Friday), with schedule adjustments negotiated per client.
- Preference for bilingual candidates (English/French and/or Spanish) and experience supporting executives or entrepreneurs.
- This opportunity is open exclusively to residents of the United States and Canada.
Compensation Details
This is an independent contractor position with earnings typically ranging from $1,500 to $3,800 monthly, contingent upon your client mix. Compensation is tied to a percentage of clients' monthly plans.
