Role Summary

This position calls for a highly organized and proactive Purchasing Coordinator to oversee procurement activities and help keep operations running smoothly. The role focuses on identifying suppliers, handling negotiations, managing purchase orders, and making sure goods and services arrive on time, at the right cost, and in line with company policies. It also requires building and maintaining a solid supplier database and ensuring smooth communication between internal teams and outside vendors.

Qualifications

The ideal candidate should hold an HND or Bachelor’s Degree in Supply Chain Management, Social Science, Finance, Business Administration, Purchasing, Material, or another technical-related discipline. Prior experience of 3 to 5 years in procurement or supply chain is required, preferably in the marine or logistics environment. Strong negotiation ability, vendor management skills, and a sound understanding of procurement, sourcing, and tendering processes are important. The role also calls for knowledge of logistics, customs procedures, and supply chain operations, along with data analysis, reporting, procurement systems, ERP tools, contract management, commercial terms, networking, and relationship management. The candidate must be able to work effectively under pressure and handle several priorities at once.

Key Responsibilities

• Examine purchase requests from different departments and confirm that the requirements are clear, complete, and accurate.
• Identify, assess, and onboard suppliers that can satisfy both technical and commercial expectations.
• Prepare RFQs, RFIs, and tender documents, then review and compare supplier quotations.
• Carry out due diligence on suppliers, including checks on quality, dependability, and service capability.
• Negotiate prices, lead times, and product or service details to secure the best overall value.
• Maintain supplier relationships and keep communication effective on both technical and commercial issues.
• Raise and manage purchase orders, ensuring all records are properly captured in procurement systems.
• Monitor orders from issuance through to final delivery and follow up as needed.
• Track logistics activities, including shipping schedules and delivery performance.
• Ensure purchase orders are issued promptly and procurement files remain current and complete.
• Follow the PR/PO cycle closely and make sure transactions are closed within set timelines.
• Assist with cost-reduction initiatives and broader procurement improvement efforts.
• Build, maintain, and regularly update the supplier database.
• Oversee tender activities while ensuring compliance with procurement procedures and policies.
