About the Role
We are looking for a meticulous Payroll Data Specialist with 4 to 5 years of experience to oversee complete payroll processes within the US Medical Staffing sector. The ideal candidate will demonstrate deep expertise in US payroll laws, efficient handling of high payroll volumes, and a keen eye for precision and regulation adherence.
Primary Responsibilities
- Manage weekly and bi-weekly payroll processing for US healthcare workers such as nurses and allied health professionals.
- Review and validate timecard data from diverse systems including Bullhorn, VMS, MSP portals, and manual inputs.
- Examine payroll components like regular hours, overtime, shift premiums, per diems, reimbursements, bonuses, and necessary adjustments for correctness.
- Identify and resolve payroll discrepancies, missing entries, payment amendments, and exceptions proactively.
- Collaborate with recruiters, account executives, and internal teams to address payroll issues before deadlines.
- Ensure payroll compliance with all applicable US federal and state wage, tax, and overtime laws.
- Assist with payroll audits and reconciliations, generating detailed payroll and variance reports.
- Work alongside Finance, HR, and Operations to enhance payroll workflows and control measures.
- Support system upgrades, testing, and introduction of enhanced payroll processes.
- Maintain adherence to documentation standards, company policies, and regulatory compliance.
- Provide expertise and mentorship to junior payroll staff and serve as the subject matter expert on payroll procedures.
Qualifications & Experience
- Bachelor's degree in Commerce, Finance, Business Administration, or related disciplines.
- 4 to 5 years' hands-on experience managing US payroll, preferably within Healthcare or Medical Staffing.
- Well versed in US payroll principles—overtime calculations, tax withholdings, garnishments, reimbursements, and compliance.
- Proven ability to handle large payroll volumes within strict timeframes.
- Advanced Excel proficiency, including Pivot Tables, VLOOKUP/XLOOKUP, comprehensive formulas, and data analytics.
- Strong analytical thinking, problem-solving aptitude, and effective communication skills.
- Capability to work independently in dynamic, fast-paced settings.
- English proficiency at B2 level or above.
Preferred Competencies & Tools
- Experience working with Bullhorn ATS/CRM platform.
- Familiarity with Paylocity payroll software.
- Knowledge of CTM, VMS/MSP portals related to healthcare staffing payroll.
- Skills in payroll audit, reporting, and automation.
- Exposure to Power BI and sophisticated Excel reporting techniques.
Work Conditions & Schedule
- Work location is Delhi-NCR, India.
- Scheduled to work permanent US Day Shift hours (8:00 AM to 4:00 PM EST).
- Readiness to extend hours during payroll runs and month-end periods as needed.
