Role Summary
Reporting to the Payroll Manager, the Payroll Administrator handles a broad set of complex payroll responsibilities, ensuring payroll is prepared, processed, and distributed accurately and on schedule in line with association procedures. The role calls for strong analytical and communication abilities, as well as the discretion needed to manage sensitive and confidential payroll matters. The position also involves delivering responsive service to internal stakeholders, external customers, and third-party vendors.
Key Duties
This role covers full-cycle payroll processing for a bi-weekly payroll, including off-cycle payments, leave administration, payroll issue resolution, benefits reconciliation, and support for year-end activities. The administrator also maintains payroll documentation, supports payroll system testing and upgrades, prepares reporting and journal entries, and serves as a point of contact for payroll, tax, benefits, and vendor-related questions.
Detailed Responsibilities
- Handle payroll operations end to end so that bi-weekly payroll is processed, calculated, and paid accurately and on time.
- Run off-cycle payments in line with company policy and applicable federal and state requirements.
- Administer leaves of absence and properly record FMLA and short-term disability tracking in UKG.
- Investigate payroll questions, discrepancies, and corrections, coordinating with multiple teams to reach resolution.
- Check exception and audit reports in UKG Ready to confirm employees are paid correctly and according to policy, and communicate with managers and employees about timecard concerns.
- Review benefit elections to ensure payroll deductions match employee selections and resolve deduction mismatches when needed.
- Stay current on wage and hour rules, federal and state tax requirements, and the rules governing pre-tax and post-tax benefits, 401(k)/403(b), and leave programs.
- Document payroll processes and procedures and keep those records up to date.
- Assist with testing payroll system enhancements, upgrades, and new releases.
- Take part in year-end work, including reconciliations and preparation of accurate tax forms on time.
- Prepare pay-period and monthly reports, including general ledger journal entries.
- Work with electronic timecard systems and provide guidance, instructions, and reports to colleagues and leaders.
- Process new hires, terminations, and all company deductions in UKG Ready.
- Act as a link between the organization and third-party vendors to support smooth payroll, tax, and benefits processing.
- Respond promptly and professionally to employee and leadership payroll inquiries.
- Support special assignments and other tasks as needed.
Qualifications
A bachelor’s degree or 2–3 years of relevant experience is required. Experience in the nonprofit sector and with UKG Ready is considered an advantage. The role requires strong proficiency in Microsoft Office, especially Excel, including the ability to build formulas. Candidates must be able to handle confidential information appropriately, communicate clearly in writing and speech, and build effective internal and external relationships. A solid understanding of payroll operations, balancing, internal controls, and payroll taxation is expected.
Compensation and Benefits
The stated annual pay range for this position is $62,000 to $68,000. Final compensation will depend on the selected work location, the scope of the role, relevant experience, skills, and other location-based market factors. The organization reviews pay ranges periodically and may grant merit-based increases based on performance.
