Role overview
Brevo is hiring a practical, team-focused Office Manager for its Berlin office. Working closely with the global People & Impact team, you will help keep the workplace running smoothly, maintain a welcoming environment, and make sure office operations stay organised and reliable.
Key responsibilities
- Run the daily office workflow, including kitchen maintenance, stock control, regular supply ordering, and keeping the space well prepared for employees.
- Handle incoming mail and office inboxes each day, and support invoice scanning, organisation, and processing in Spendesk with the finance team.
- Monitor office spending and prepare weekly updates for event, supply, and travel budgets.
- Plan and deliver employee activities and events, ranging from weekly lunches and recurring social meetups to well-being initiatives and large seasonal celebrations.
- Support Berlin employee onboarding and exit processes through desk preparation, welcome items, office walkthroughs, and key collection or return.
- Coordinate health and safety requirements, including inspections, fire safety training, first aid training, and evacuation drills, while working with external safety partners.
- Help prepare for ISO and ASA audits when needed and contribute to sustainability work such as tracking carbon footprint data.
- Oversee the cleaning team, including ordering supplies and carrying out routine quality checks.
- Improve and maintain office procedures by documenting workflows and supporting consistent ways of working.
- Act as the main contact for office and employee requests, resolving everyday issues quickly and constructively.
- Share office updates, event information, and important notices with the Berlin team through Slack and other internal channels.
- Work with Office Managers in other Brevo locations on shared projects and group initiatives.
