About the Role
Optimum Solutions Pte Ltd's client, a prominent global technology firm, is currently hiring for the position of Junior Executive Administrative Assistant. This contract-based position provides crucial high-level administrative and operational support to senior leadership. The contract extends until June 28, 2027.
Key Responsibilities
- Efficiently manage intricate calendars, coordinating meetings across multiple stakeholders and varying time zones.
- Arrange and coordinate both domestic and international travel, including preparation of itineraries, visa processes, logistical support, and handling post-travel documentation.
- Develop and prepare meeting materials such as agendas and presentations, while also providing meeting support including note-taking when required.
- Handle processing of expense claims, invoices, purchase orders, and assist with tracking budgets.
- Organize and execute internal and external events, including leadership meetings, town halls, off-site meetings, and business programs.
- Collaborate with internal teams to manage office space planning, workplace logistics, and facilities requests.
- Support employee engagement initiatives, culture-building efforts, and strategic site-related programs.
- Lead small to medium operational projects, proactively identify risks, and ensure projects are completed on time while maintaining confidentiality and professionalism.
Required Qualifications
- A minimum of 3 to 4 years’ experience in administrative or executive support roles, ideally within multinational corporations or technology sectors.
- Demonstrated expertise in managing complex calendars, executive travel arrangements, expense administration, and meeting coordination.
- Strong skills in event planning and project coordination.
- Excellent organisational, communication, and stakeholder management capabilities.
- Proven ability to handle confidential information with discretion and sound judgment.
