Role Overview
The Human Resources Coordinator plays a key role in keeping people-operations processes accurate, consistent, and dependable. This position supports employee data management, payroll-related activities, hiring coordination, and day-to-day HR service delivery across the employee lifecycle.
Working with HR leadership, the coordinator helps maintain a high-performing HR operation that is service-oriented, detail-driven, and aligned with internal standards. Strong judgment, a careful approach, and a focus on operational excellence are important for success in this role.
Key Responsibilities
- Manage new hire and separation workflows end to end, including paperwork, orientation planning, and exit-related arrangements.
- Update the organization’s charts every week in Microsoft Visio to reflect staffing movements, promotions, and vacancies.
- Keep employee information current, accurate, and compliant within the HRIS.
- Protect the quality of personnel data and assist with reporting requests when needed.
- Support recruiting activity by publishing vacancies, reviewing resumes, arranging interviews, and keeping candidate communication prompt and professional.
- Help with pre-employment checks and federal compliance tasks that require detailed tracking, auditing, and record filing.
- Assist payroll operations through audits, reporting, ATG calculations, and weekly invoice handling in Coupa.
- Spot and escalate discrepancies quickly while following financial and regulatory rules.
- Oversee MSAs and SOWs tied to recruiting vendors.
- Monitor renewal deadlines and ensure documents stay updated and aligned with business needs.
- Act as a reliable first contact for employee questions and concerns.
- Offer guidance on workplace policies and people-related issues while preserving confidentiality and professionalism.
Minimum Qualifications
This position is classified as Assistant Retirement Benefits (40491). Candidates must meet one of the following eligibility paths:
- An associate degree, or completion of 60 college credits from an accredited institution, including or supplemented by 9 credits in mathematics, statistics, accounting, and/or actuarial science; or
- A four-year high school diploma or equivalent plus two years of satisfactory full-time experience carrying out mathematical, statistical, actuarial, or accounting computations in one or more of the following: a retirement or employee benefits plan, customer service in a financial institution, or a role requiring the use of laws, rules, regulations, and statistical, actuarial, or similar tables; or
- A suitable mix of education and experience equal to the options above. For the experience-based route, 30 semester credits from an accredited college may replace one year of required experience. However, every candidate must have a four-year high school diploma or equivalent and either 9 semester credits in mathematics, statistics, accounting, and/or actuarial science, or one year of qualifying experience.

New York City residency is generally required within 90 days of appointment. City employees in certain titles who have completed two continuous years of service may also be able to live in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. The salary for this position is $48,097 to $60,000 per year.
