Position Overview
The Coordinator, Enterprise Bid and Contract Support is responsible for ensuring that all bids meet technical compliance, are commercially viable, obtain internal approvals, and are submitted punctually. Additionally, the role manages contract drafting, approval, execution, tracking, and renewal or termination aligned with business objectives. This position handles the full lifecycle management of bids and contracts with enterprise clients, government entities, and SOEs.
Key Responsibilities
- Receive, register, and assess all incoming RFPs, RFQs, RFIs, and unsolicited proposals, maintaining a centralized bid pipeline.
- Devise and manage bid plans, coordinating cross-functional teams including Sales, Engineering, Legal, Finance, and Procurement.
- Integrate technical, commercial, and legal inputs into a comprehensive compliant bid document and address all customer queries thoroughly.
- Conduct quality checks on bid submissions for accuracy, consistency, compliance, and brand alignment.
- Verify completion of all mandatory submission documents, such as company registration and regulatory certificates.
- Monitor contracts through a management platform, manage renewal or termination plans, and coordinate negotiations for pricing, SLAs, and scope adjustments.
- Handle controlled contract terminations including notice issuance, exit execution, decommissioning, and billing review.
- Maintain and update a library of bid templates, reusable content modules, and approved contract templates.
- Manage the lifecycle of NDAs including drafting, execution, filing, and renewal tracking.
- Ensure bid and contract compliance with relevant laws such as the Public Procurement Act, Data Protection Act, and MTN policies.
- Maintain a risk register highlighting contractual risks and escalate as necessary.
- Support audit processes through timely provision of documentation.
- Generate weekly reports on bid pipelines and contract statuses and present quarterly analytics on win/loss rates and performance metrics.
- Serve as liaison for customer procurement teams for bid-related inquiries and foster collaboration across internal teams to optimize response times.
Qualifications and Experience
- A university degree in Business Administration, Law, Procurement, Engineering, IT, Social Science, Psychology, Management, or related disciplines.
- At least three years’ experience in bid coordination, proposal management, contract administration, procurement, or commercial roles preferably in telecommunications, ICT, or B2B services.
- Professional certifications such as APMP, CIPS, IACCM, PMP, PRINCE2, or Contract Law are advantageous.
Technical Skills and Knowledge
- Comprehensive understanding of enterprise solutions and bid management lifecycle.
- Fundamental knowledge of contract law, standard clauses, and Ghana procurement regulations.
- Familiarity with data protection and information security principles.
- Experience managing multi-contributor bids with firm deadlines.
- Contract drafting and review expertise.
