Job Overview
The Assistant Project Manager I offers vital support to Project Managers and field leaders in planning, organizing, executing, and finalizing construction projects related to pipelines and facilities. This role encompasses managing project costs, monitoring schedules and progress, vendor invoicing, administering purchase orders, coordinating contractor quotes, maintaining project documentation, and facilitating communication with clients and suppliers to ensure crews have the necessary resources and information for safe and efficient project completion aligned with specifications.
Key Responsibilities
- Assist project personnel in ensuring work complies with contractual specifications, drawings, and terms by monitoring commitments and supporting the management of trends, change orders, and claims.
- Help review invoices and payment requests for accuracy and completeness, escalating any issues to the Project Manager promptly.
- Support financial project reporting by following up on accounts receivable, unbilled items, cost tracking, and producing weekly updates under Project Manager guidance.
- Contribute to maintaining budgets, forecasts, and cost reports through diligent review and tracking.
- Facilitate project closeout by organizing documents, monitoring completion tasks, and assisting with post-project reviews to confirm record completeness.
- Maintain accurate project tracking with databases, schedules, spreadsheets, logs, and other digital tools to oversee performance and progress.
- Assist with preparation of project documentation such as reports, process flow charts, layout drawings, data sheets, and meeting notes.
- Carry out additional project support functions as directed by leadership and Project Managers.
Experience and Skills
- Preferably possess field experience in construction of pipelines and upstream oil and gas facilities including compressor and pump stations, production, and measurement facilities.
- Strong skills with Microsoft Office, especially Excel, including creating and maintaining complex spreadsheets and documents.
Education and Training
High School diploma or GED required.
Competencies and Attributes
- Proficient with Microsoft Excel, Word, Project, and Outlook applications.
- Basic understanding of budget control, contracts, and accounting terminology with the ability to embrace project control processes.
- Excellent analytical, organizational, and follow-through capabilities.
- Strong verbal and written communication skills enhanced by effective listening.
- Professional, tactful demeanor with mature interpersonal skills and adaptability to work with diverse teams.
