About the Role
This position involves supporting various school-based administrative tasks, focusing on assisting with special programs, school faculty, and general office duties. It is an entry-level clerical role primarily dealing with attendance, organizing students for testing, and maintaining orderly workspaces.
Key Responsibilities
- Provide courteous and timely assistance to both internal and external customers, positively representing the school district.
- Support the evaluation and coordination of special academic programs, including student transportation and test group organization.
- Assist teachers by conducting daily attendance in both special academic programs and regular classrooms, prepare referrals and manage related documentation including home visit forms.
- Facilitate placement of new students into special academic programs and distribute placement documentation appropriately.
- Input assessment details into databases and spreadsheets, ensuring accuracy in recording student names, teacher assessments, and placements.
- Organize and prepare student assessment folders and file them accordingly.
- Support directing teachers with daily attendance tasks for special programs.
- Assist with everyday classroom activities such as collecting supplies, copying materials, and supporting report card processing.
- Manage ordering and inventory of supplies and materials; track and catalogue returned items.
- Coordinate with the attendance clerk on student entry and withdrawal updates.
- Prepare materials and documentation for faculty meetings and ensure relevant information is organized for administrative staff.
- Maintain cleanliness and organization of special program rooms and general work areas.
- Answer telephone calls, deliver information, relay messages, and provide assistance as needed.
- Conduct monitoring and patrol of designated areas as required.
- Operate various office machinery and equipment including laminators, copiers, and poster makers.
- Stay updated on current technologies utilized by the district and participate in training to enhance job-related technological skills.
- Ensure the accuracy and timeliness of information maintained as part of job responsibilities.
Additional Information
The role may include other related duties as assigned. Physical demands generally involve light exertion such as lifting or moving objects weighing 5 to 10 pounds and extended periods of keyboard use. Sensory requirements include good visual perception and oral communication capabilities. Environmental conditions are typically standard indoor office settings without exposure to adverse elements.
Minimum Qualifications and Experience
- High school diploma or GED.
- Up to six months of relevant office work experience or an equivalent combination of education and training.
Abilities and Aptitudes
- Competency in compiling, assembling, and transcribing data following prescribed methods.
- Effective communication skills within established procedures to obtain or clarify information.
- Skill in operating office equipment relevant to the position.
- Ability to utilize reference materials and perform basic arithmetic operations.
- Capable of following detailed but straightforward instructions and executing routine tasks with some independent judgment.
- Judicious decision-making in repetitive tasks following established procedures.
