Role Overview
As a Remote Administrative Records Specialist, you will play a crucial role in ensuring that all digital and scanned documents are systematically accurate, well-maintained, easy to locate, and meet internal compliance standards. Your contributions will support various departments by managing document submissions, verifying completeness, applying consistent naming conventions, and upholding a structured filing system.
Key Responsibilities
- Receive and handle documents from various sources including shared inboxes, digital portals, ticketing systems, and cloud platforms.
- Validate document type, check for required fields, signatures, and supplementary attachments.
- Assign standardized metadata such as client/project IDs, dates, document versions, types, and geographic regions to ensure consistent indexing for efficient retrieval.
- Establish and maintain consistent naming norms and directory structures for all records, keeping draft, final, and archived files distinct.
- Perform file preparations including converting formats, merging/splitting PDFs, compressing files, and managing version control.
- Conduct ongoing audits to detect duplicates, misfiled records, missing pages, or unreadable documents; document and escalate issues promptly.
- Maintain error tracking logs and collaborate on process improvements aimed at minimizing rework.
- Manage sensitive and confidential information in compliance with access control policies and legal retention schedules.
- Aid organizational audits by retrieving records swiftly and documenting the chain of custody.
- Coordinate with teams such as HR, Finance, Operations, Legal, and Customer Support to understand documentation requirements and provide status updates on processing and backlogs.
Performance Indicators
- Maintain a high accuracy rate with minimal misfiling and metadata errors.
- Ensure prompt document processing from receipt to filing.
- Effectively manage backlog and maintain regular throughput.
- Deliver fast and comprehensive audit retrievals.
- Comply strictly with access controls and document retention policies.
Qualifications
- Prior experience in records management, administrative support, document control, or similar clerical roles preferred.
- Exceptional attention to detail and consistent application of filing and naming conventions.
- Ability to handle confidential information with discretion and follow stringent procedures.
- Basic competence with computers including familiarity with file systems, spreadsheets, PDF tools, and collaboration software.
- Capable of working autonomously in a remote setup while maintaining high accuracy and consistency.
