Role Overview
The Procurement Officer will be responsible for running the organization’s purchasing and sourcing activities in a way that is timely, economical, and aligned with compliance requirements. The role supports smooth programme delivery and day-to-day operations through reliable acquisition of goods and services.
In addition, this position will assist the Egg a Week Programme by keeping inventory records up to date and helping coordinate the sale of surplus eggs to generate income and improve the programme’s long-term sustainability.
Role Focus
- Procurement and supply chain responsibilities account for 70% of the role.
- Egg a Day Programme inventory and sales coordination account for 30% of the role.
Location and Relocation
This job is based in Migori County, and preference is given to applicants currently living in Migori or nearby areas. The organization will not provide relocation or resettlement assistance. Candidates who live outside Migori must arrange and fund their own move if selected.
Key Duties
- Create and execute procurement plans that match organizational requirements and approved budgets.
- Identify suppliers, compare options, and negotiate for quality goods and services at competitive prices.
- Keep supplier records current and build productive long-term supplier relationships.
- Track stock levels and coordinate replenishment before shortages occur.
- Maintain complete procurement documentation and prepare regular procurement summaries.
- Compile periodic updates on egg stock, sales results, and possible market opportunities.
- Support activities that strengthen the Foundation’s financial sustainability through effective handling of surplus produce.
- Record eggs produced, distributed, and sold using production reports from the Poultry Manager.
- Design and implement approaches for selling surplus eggs, especially during school holidays when demand from schools drops.
- Find potential buyers, negotiate sales, and organize timely order deliveries.
- Keep accurate records of egg sales, customer dealings, and income earned.
- Prepare recurring reports on egg inventory, sales performance, and market opportunities.
- Contribute to the financial sustainability of the Foundation through sound surplus produce management.
Qualifications and Experience
- A bachelor’s degree or diploma in Procurement and Supply Chain Management, Logistics, Business Administration, or a related field.
- Professional certification such as KISM or CIPS will be an advantage.
- At least 3 years of relevant experience in procurement or supply chain work.
- Experience in inventory management, agribusiness, FMCG, or agricultural value chains is beneficial.
- Strong ability to negotiate and manage suppliers.
- High standards of integrity and accountability.
- Well-developed planning and organization skills.
- Good analytical ability and careful record keeping.
- Strong communication and relationship management skills.
- Comfortable using Microsoft Office, especially Excel.
- Able to work independently while handling several priorities at once.
- Commercially minded with appreciation for social impact work.
