Role Overview
The Payroll Specialist will ensure accurate and compliant payroll services for a large retail environment, focusing on delivering an outstanding employee experience. This role involves managing payroll systems, vendors, stakeholders, and driving continuous improvement through data analysis and process optimization.
Key Responsibilities
- Gather, organize, and verify payroll data from stores and internal departments to guarantee accuracy before system entry.
- Execute fortnightly payroll processing from start to finish for Australian Retail, ensuring full compliance.
- Support payroll operations for New Zealand and Central regions.
- Meet payroll deadlines including month-end and year-end processing, superannuation, and payroll tax submissions.
- Audit payroll outputs including overtime, allowances, and deductions to confirm correctness.
- Submit General Ledger reconciliations and accruals to the Finance department.
- Serve as a trusted resource for payroll inquiries, offering expert advice to employees.
- Develop and implement clear communication approaches to enhance employee understanding of payroll processes.
- Work collaboratively with HR, Workforce Planning, leadership, and office teams to improve overall employee payroll experience.
- Manage relationships with payroll vendors to maintain seamless service delivery.
- Partner with internal teams to introduce new payroll initiatives.
- Coordinate closely with Workforce Planning to support accurate workforce data, reports, roster processes, and payroll outcomes.
- Educate managers and stakeholders on payroll policies, procedures, legislative compliance, and best practices to ensure consistent understanding.
- Analyze payroll trends, employee feedback, and compliance risks to inform continuous improvements.
- Lead process evaluations and apply technical solutions to boost efficiency and accuracy.
- Ensure payroll systems and workflows align with organizational goals and employee requirements.
- Drive adoption of AI, automation, and digital tools to enhance operational efficiency, compliance, reporting, and decision-making.
Candidate Profile
- 3 to 5 years of payroll experience in a high-volume setting.
- Preferred bachelor's degree in Human Resources, Finance, Business, or related field; equivalent experience also considered.
- Proven track record managing end-to-end payroll processing.
- Proficiency with Dayforce (mandatory), Preceda, SuccessFactors, Microsoft Office Suite (Excel, Word, Outlook), and Microsoft Copilot.
- Experience handling payroll compliance and legislative regulations.
- Background working with payroll providers and external stakeholders.
- Sound knowledge of Australian payroll legislation, awards, and compliance rules.
- Familiarity with New Zealand payroll legislation deemed highly desirable.
- Understanding of General Retail Industry Award (GRIA) and National Employment Standards (NES).
- Excellent attention to detail and dedication to payroll accuracy.
- Strong analytical and problem-solving capabilities.
- Ability to juggle multiple priorities and meet strict deadlines.
- High discretion and confidentiality when managing sensitive employee information.
