Overview
The Payroll Assistant will be responsible for managing and distributing payroll for designated employee groups. This role includes entering payroll data into the human resource database, processing manual payments, and handling variable payroll elements such as overtime, vacation, sick leave, bonuses, training pay, and expenses. Additionally, the position involves pension management and performing other payroll-related duties. Administrative tasks related to new hires and terminations also fall within this role.
Key Responsibilities
- Timely and accurate processing and distribution of payroll for assigned groups.
- Perform diverse payroll functions including importing payroll files, managing training pay, expense reimbursement, bonuses, annual leave, and handling home country tax administration.
- Identify and resolve discrepancies in payroll records through analysis and investigation.
- Respond to employee payroll inquiries and resolve issues efficiently.
- Process off-cycle and on-demand payment requests as necessary.
- Input payroll-related information into the payroll and HR database, covering banking details, tax elections, and more.
- Manage Workday inbox items such as employee promotions, demotions, transfers, and address changes.
- Prepare monthly payroll reports and distribute them to the Accounting and Treasury departments.
- Provide telephone support addressing payroll questions from various departments and offshore rigs.
- Coordinate closely with Human Resources to ensure accurate employee data and instructions are maintained.
- Suggest enhancements to payroll practices and procedures to improve consistency and quality.
- Assist and participate in projects as assigned by the Payroll and Compliance Supervisor.
- Possess knowledge of shadow payroll and host country tax requirements under tax protection schemes.
- Manage department emails by opening and distributing relevant communications.
- Handle the distribution of payslips and tax documentation to former employees after termination.
- Submit payment requests to Treasury for pension and statutory payments at month-end.
- Support organizational initiatives and ensure payroll compliance with relevant laws and tax regulations.
- Develop and update payroll policies to maintain current and accurate information.
Qualifications & Experience
- Preferred qualification from the Chartered Institute of Payroll Professionals (CIPP).
- Prior payroll experience is essential, with mandatory North Sea payroll experience; international exposure is advantageous.
- Strong organizational skills with the capacity to manage multiple responsibilities under tight deadlines.
- High attention to detail and accuracy in a complex and demanding environment.
- Experience with HR Information Systems (HRIS), especially Workday.
- Proficient in Microsoft Excel and general Microsoft Office applications.
